We are looking for a proactive, organized, adaptable, and team-oriented Workplace Experience Manager to join our People Operations team in New York City. In this role, you will oversee and manage the day-to-day operations of our office environment, ensuring that it runs smoothly and efficiently, while fostering a positive and welcoming atmosphere for all employees and visitors. You will be the go-to person for maintaining office functionality and organizing and executing memorable team events, both virtually and onsite. In addition, you will provide critical recruitment coordination support, and help manage the candidate and new hire experience, collaborating across departments to drive a seamless experience for all. 


This role requires a detail-oriented, highly organized and creative professional who is passionate about cultivating an inclusive workplace culture and ensuring seamless operational support for employees. This role is perfect for someone who enjoys a hands-on, people-centric position where no two days are the same. To ensure success, you must be skilled at tracking, analyzing, and optimizing office operations with defined metrics and measurable objectives and maintaining strategic systems to optimize office functionality and support hybrid work models.

This is an in-office position (Mon - Fri) in our NoMad office.

Responsibilities

  • Office Operations: Oversee supplies procurement and office budget. Manage relationships with suppliers and building management. ​​Coordinate regular ordering of team lunches and stock the kitchen with essentials to keep the team fueled and happy. Maintain cleanliness and organization of shared spaces. 
  • Team Events & Culture: Plan and execute team-building events, offsites, and celebrations both virtually and in person. Collaborate with leadership to identify opportunities for cultural initiatives and activities. Maintain a calendar of events and activities to ensure consistent engagement touch points throughout the year.
  • Candidate and New Hire Experience: Partner with Talent Acquisition to create a welcoming and positive interview experience for on-site candidates. Serve as the primary point of contact for new hires during their initial weeks, providing guidance on policies, systems, and resources.
  • Recruitment Coordination: Coordinate virtual and onsite interviews across time zones, ensuring a seamless and positive candidate experience throughout the process. Book travel arrangement for candidates as needed. Collaborate closely with recruiters, hiring managers, and candidates to build strong relationships and keep recruitment efforts organized and efficient. 

Minimum Qualifications

  • 3+ years in office management, recruiting coordination, operations, HR, or a similar role, preferably in a fast-paced startup or tech environment
  • Exceptional organizational and project management abilities; adept at balancing multiple priorities
  • Strong interpersonal and written communication skills, with the ability to connect with diverse teams
  • Proficient with G-Suite
  • Must be able to stand for long periods and carry up to 50lbs
  • This is an in-office position (Mon - Fri) in our NoMad office

Preferred Qualifications

  • Strong attention to detail, ensuring accuracy in scheduling, and communication.
  • Flexible mindset and the ability to thrive in a fast-paced startup environment, where wearing multiple hats and adapting to evolving priorities is key to success.
  • A genuine passion for creating a positive and inclusive workplace culture
  • Proficient in Slack, and other office tools and platforms, with a willingness to learn new systems as needed

Location | Work Authorization

  • For this role, Regard is currently only considering candidates who are authorized to work in the US without visa sponsorship, and are within the New York City metro area
  • Our expectation for this role is to be in the office Mon-Fri
  • We will provide relocation assistance to anyone who does not already reside in the NYC metro area
