Workflow Specialist
The Workflow Specialist will be a member of the Payment Processing team. The onsite team is responsible for the first processing stages of tax returns that are received via the USPS. Mail is received, opened, sorted, and scanned as images into proprietary applications.
Position Objective: Coordinate the daily flow of work within the department to streamline processes and efficiently complete tasks.
Essential Duties and Responsibilities:
- Learn and perform multiple department processes including sorting, slicing, opening, batching, and scanning of the mail.
- Learn and utilize the proprietary applications necessary to process taxes.
- Understand and identify the priorities within the department to determine how to shift individuals from one task to another based on their knowledge and skills to fill all processing gaps.
- Train and instruct individuals on tasks needed to complete work.
- Identify and report any processing delays or issues promptly to the supervisor or helpdesk.
- Shift from one task to another quickly while maintaining focus on priority tasks.
- Trouble shoot staff computer issues and submit Helpdesks tickets when necessary.
- Audit department processes throughout the year.
- Suggest innovative ideas for streamlining process improvement.
- Provide feedback to the supervisor to assist with the annual performance evaluation process.
Qualifications and Skills:
- Energetic with the ability to move at a fast pace to maintain workflow.
- Team Player with ability to communicate in a cross functional environment.
- Previous experience with delegating work is a plus.
- Strong communication skills are required to effectively assign work and interact with management.
- Analytical skills are required to make practical decisions regarding the workflow.
- Mechanical and technical skills are a plus to aid in decision making when evaluating processes and the equipment utilized to complete tasks.
- Data entry experience is required to work within the applications.
- Microsoft Office experience is required to efficiently perform work and communicate.
