Job Description

We’re looking for a proactive and detail-oriented Team Assistant - Travel Specialist to support our Executive Teams with their travel arrangements. In this essential role, you will ensure seamless and efficient business travel by conducting research, managing bookings, and handling last-minute changes. Your role will contribute to optimizing travel experiences, reducing logistical complexities, and enhancing efficiency within our executive team.

Responsibilities:

  • Assist the Executive Support team with travel arrangements for the Leadership Team.

  • Research accommodation and flights based on travel requirements, sometimes at the last minute.

  • Report business travel to our People Operations team when applicable.

  • Manage multiple trip requests simultaneously, ensuring smooth coordination.

  • Support the Executive Support team with submitting expenses after each trip.

  • Help the Executive Support team with other administrative tasks when possible.

  • Act with integrity and ensure confidentiality at all times.

Qualifications

  • Two to four years of experience working in hospitality, travel coordination, or customer service.

  • Strong organizational and time-management skills, with the ability to manage multiple tasks simultaneously.

  • Exceptional communication and interpersonal skills, with a customer-oriented mindset and ability to work well in a team.

  • Comfortable handling customer service inquiries and navigating complex travel arrangements.

  • Integrity, trustworthiness, and transparency are core to your working style.

  • Proficiency in Google Suite and MS Office; familiarity with travel management tools is a plus.

  • Fluent in English with at least A2 proficiency in German; an additional language is an advantage.
