What You'll Do
You will support our European office in Berlin and London with administrative tasks and office management responsibilities. Some of your key responsibilities will include:
- Day to day calendar management; prioritizing internal and external meeting arrangements
- Preparing draft documents for review, using Google Suite
- Coordinating travel arrangements and travel expenses ensuring proactive arrangements are made efficiently
- Liaising with wider stakeholders to prepare agendas, take and distribute minutes for internal meetings, plan team events and support wider ad-hoc team projects
- Overseeing and maintaining all office management duties for a growing team
- Monitoring post and deliveries to the office, scanning and sending on to recipients
- Liaising with the Facilities Manager & maintenance contractors attending to the office
- Monitoring hot desks, ensuring equipment is in place and partnering with the IT team as required
- Acting as first point of contact for all reception and hospitality tasks including organizing catering, arranging food where needed, and supporting visitors during internal events
- Providing administrative and operational support for meetings and conference rooms
- Supporting procurement process including vendor onboarding and processing incoming invoices
- Support other ad hoc tasks and projects as reasonably required within the scope of the role
- Be physically in the office a minimum of 3 days per week
Who You Are
You've have high attention to detail with interest in supporting cross-functional, international teams. Additionally:
- You are enrolled at a university and can provide a student ID
- You are proficient in Google Suite
- You have a proven ability to proactively and efficiently respond to changing priorities
- You have excellent organizational skills
- You are professional communicator with strong writing skills
- You are fluent in English
Optional
- You have experience in a Startup or hyper-growth organization
- You are fluent in German
Please note that this is a temporary position, the duration of which is expected to be five to seven months

Preferred Primary Location: Berlin office
The annual pay range reflected above for this position is based on the preferred primary location of the role which is listed in the job description. Salary ranges for other locations vary from the range reflected above. Base pay offered may vary depending on job-related knowledge, skills, and experience. An annual bonus and equity may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered.
