The Role
Reporting to another Assistant within the Research Services support team, the successful candidate will provide PA and administrative support to the business, including the Research team and other teams as required, and a number of senior individuals. The aim of this role is to help the teams run as smoothly as possible and allow them to optimise their time.
We are looking for a self-starter with a proactive attitude to work seamlessly within the team. The ideal candidate is likely to be someone who has worked in a similar position before and is able to multitask effectively.
Responsibilities
- Managing diaries of senior Redburn Atlantic employees (Analysts and others in the wider RA business, as needed); liaising with internal teams and external individuals to arrange client meetings
- Assisting the Sales team in organising meetings between Analysts and clients
- Coordinating national and international travel with our preferred travel agency and preparing any necessary travel documents (itineraries, visas, etc)
- Booking restaurants and taxis
- Organising staff social events
- Processing expense claims
- Preparing any necessary marketing materials, updating Excel spreadsheets and producing PowerPoint presentations
- Organising annual events to connect Junior Analysts with client counterparts
- Helping Analysts plan marketing calendars and keep up to speed with client info
- Working alongside other Assistants and the front of house team, covering for Reception/other Assistants where necessary

Person Specification
- Experience in either a PA or team assistant role
- Experience managing diaries of busy people
- Highly organised, professional, and trustworthy
- Excellent inter-personal and communication skills
- Proactive and thoughtful approach
- Able to multitask and work to tight deadlines
- Flexible and calm under pressure
- Able to use discretion and tact, and carefully handle confidential information
- Sound judgement, initiative, and common sense
- Flexible approach and willingness to help cover for other assistants occasionally
- Good numeracy and attention to detail
- Strong Excel, PowerPoint and Microsoft Office skills and a willingness to learn other packages such as CRM
