JOB SUMMARY
The Travel Supervisor is responsible for overseeing and managing all aspects of corporate and organizational travel arrangements, as well as overseeing a team of travel bookers. This role ensures that travel policies are adhered to, travel plans are executed efficiently, and employees or clients experience seamless, cost-effective travel services.
The role will be expected to build strong relationships with vendors and take full responsibility for the team’s performance and operations.
KEY TASKS
- Travel Management: Provide end-to-end travel solutions, including flight, hotel, and transportation bookings, tailored to individual needs and company guidelines.
- Management: Able to manage a team and its workload and delegate tasks as needed. Resolve any issues or challenges efficiently.
- Efficient Multitaski ng: Manage multiple travel requests simultaneously, ensuring timely completion and exceptional customer service.
- Administration and Budgeting: Monitor the entire travel spend for the company and continually look at ways to minimize spend
- Recordkeeping: Maintain accurate records of all travel arrangements, payments, and itineraries for easy reference and reporting.
- Travel Preparation: Provide travellers with detailed itineraries, maps, guides, and essential travel information as and when required.
- Planning: Ability to book, manage, and coordinate a large event scale booking from start to finish, including budgeting, negotiating rates and group itineraries.
- Proactive Issue Resolution: Address and resolve any travel-related issues or concerns promptly and effectively.
- Cost-Effective Travel Sourcing: Research and negotiate competitive travel options to meet location and budget requirements.
- Reservation and Payment Management: Handle all reservations, payments, and cancellations efficiently.
- Comprehensive Travel Research: Compare and analyse various travel options to identify the best deals and value.
- Financial Management: Monitor and reconcile credit card expenditures, ensuring accurate expense reporting and VAT recovery. Negotiate yearly rates and source new partners.
- Scheduling: Manage PTO requests and On Call schedules to ensure full coverage.
- Emergency Contact: Serve as the primary point of contact for travel-related emergencies during out of office on-call hours.
Qualifications & Skills
- Previous experience in fast paced environments essential, travel booking or administrative experience a plus.
- Previous experience managing a team a plus
- Ability to handle travel-related issues and emergencies calmly and efficiently.
- Experience budgeting large projects and overall yearly spend
- Good verbal and written communication skills.
- Excellent time management skills.
- Good understanding of Microsoft Office including a strong understanding of Microsoft Excel.
- Willingness to adapt to and learn new technologies
