Summary

This position will be responsible for managing and updating state and county requirements in Oracle, the Intranet, and Perfect Docs. This position will be responsible for updating and managing recording fees in Oracle, as well as communicating fee updates to clients and various departments. Specialists will establish and maintain effective communication with each county, delivering comprehensive and timely information to other NTC departments. Furthermore, they will collaborate with IT, Legal, client services, and other company areas to promptly address and implement new forms, form changes, or form issues.

Essential Functions

  • Maintain record of county requirements based on rejects and notices received from counties, as well as responses to surveys originated by NTC.
  • Coordinate changes in NTC practices based on communications received from counties regarding expected changes in their requirements.
  • Maintain open communication with counties regarding changes in recording fees, based in part on rejects and notices received from counties, as well as responses to surveys originated by NTC.
  • Coordinate filings with selected counties based on information received from counties concerning expected changes in fees.
  • Contact counties to request specific data, as required.
  • Conduct research to determine the cause of a reject, gather the information needed to correct the reject, and help advise other departments on what is needed based on the county’s data and other research.
  • Liaison between upper management, Customer Service, and other production areas including other Production Divisions.
  • Run reports to gather data, examples, and possible issues.
  • This position will have KPI metrics based on the number of tasks completed as well as the ability to maintain an acceptable error rate.
  • Ability to work overtime and weekends if needed.
  • Perform other related duties as assigned.

Essential Knowledge, Skills, & Abilities

  • Basic knowledge of Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Ability to prioritize multiple objectives to meet client deadlines and department goals.
  • Excellent verbal and written communication skills.
  • Ability to work in a fast-paced, metrics driven environment.
  • Commitment and ability to cultivate a diverse and inclusive work environment.

Education

  • High School Diploma or equivalent.

Experience

  • 1+ years of relevant industry experience required.
  • Data Entry trained, required.

Working Conditions

Work is performed in a climate controlled indoor administrative office setting.  The noise level in the work environment is usually quiet to moderate, depending upon the office or meeting location.

Physical Demands and Activities

While performing the duties of this job, the employee is frequently required to communicate.  The employee frequently is required to remain stationary.  The employee is frequently required to move about the office, operate a computer and other office machinery, such as calculator, copy machine, and computer printer; rarely position self to maintain files; rarely moves boxes weighing up to 30 lbs. Close and distance observation required with ability to observe objects at close range in presence of glare or bright lighting (e.g., computer screen).  Must possess the ability to communicate information and ideas so others will understand and have the ability to interact with external and internal stakeholders.

NTC Non-Exempt Operations Position

The amount of work that needs to be accomplished to service the needs of NTC clients is subject to fluctuations.  Due to these fluctuations, NTC may require its employees to move from an area where work is slower to an area where their services are more needed by NTC.

The willingness of personnel to assist in or move to other areas within NTC, when needed, is an important factor for the company to meet the needs of our clients.  NTC strives to communicate in advance any change in job duties, roles, expectations, etc., however advance notice may not always be possible.
