Coordinates critical HR operations, initiatives and activities, supporting the People organization.
Overall Purpose
The Sr. People Coordinator is a key role within the People team providing administrative and operational support to a variety of key People programs. The role provides a high-level of customer service to candidates and employees throughout the employment life cycle. Works closely with internal partners, leaders and employees to support people processes. Supports the People team with ongoing projects, priorities and initiatives.
Essential Functions
Depending on the focus area, the Sr. People Coordinator may be responsible for one or more focus areas listed below:
Talent Acquisition and New Hire Onboarding:

Supports recruiters and hiring managers through all phases of the recruiting and onboarding process ensuring timely and effective onboarding of new hires. Prepares and sends hiring documents, initiates pre-employment background screening and pre-employment tests, tracks receipt and completion of background checks and Workday tasks, follow-up with hiring managers on ServiceNow tickets. Keeps recruiting staff informed of status, troubleshoots issues, engages with internal partners to solve roadblocks.

Serves as the primary point of contact for candidates, hiring managers and internal stakeholders during the onboarding process. Ensures candidate experience is exceptional from initial contact through disposition or onboarding.

Supports the talent development team with NEO. Responsible for a variety of onboarding activities including email communications to new hires, general administrative support, troubleshooting issues with Zoom or delays with equipment, notifying appropriate recruiting or hiring managers of issues.

Supports the recruiters with scheduling interviews, as needed.

Responsible for supporting travel arrangements for candidates and new hires.

Responsible for tracking and processing employee referral bonuses.

Monitors contingent worker end date process, engages with recruiters, internal partners and hiring leaders, as needed.
Immigration Support:
-
Supports immigration related efforts related to sponsorships including managing postings, document management and file management. Ensures compliance with legal requirements and maintains appropriate files and documentation.

Monitors and responds timely to inquiries submitted to the Immigration shared mailbox. Forwards or escalates issues, as needed.
People Strategies & HR Operations:

Assists with administrative support functions including calendar management, meeting coordination (townhalls, staff meetings, offsite, etc.), travel planning, and expense management.

Supports the Workplace Programs strategies, roadmaps, initiatives and required actions to help build “best in class” programs.

Serves as the primary point of contact for Workplace Programs when leaders are unavailable or cannot be reached.

Provides input on Workplace Programs as we continue to evolve our routines, process and systems.

Supports severance processes such as calculations, agreements and status updates.

Provides support for leave of absence processes including employee or leader questions, payroll verifications, audit compliance.

Process unemployment claims in collaboration with Employee Relations.

Assist with non-payroll employee verifications.
General Activities and Reporting:

Participate in projects and initiatives that are aligned to the broader goals and priorities of the People Team function intended to optimize processes and technology.

Assist with developing and maintaining applicable process documentation, drafting communications, coordinating activities across various functions

Monitor and provide timely response to inquiries submitted to shared mailboxes (Talent Acquisition, Immigration, People Strategies, HR Operations, etc). Forward or escalate issues, as needed.

Support People team with a variety of audits and controls testing, as assigned.

Create and maintain reports, as assigned.

Responsible for maintenance of People Team SharePoint sites, as assigned.

Support the company’s commitment to risk management and protecting the integrity and confidentiality of systems and data.
Minimum Qualifications
-
High School diploma or equivalent.
-
3 or more years of related experience in a HR support role or in a high-volume administrative role in a professional environment OR bachelor's degree in human resources or related field.

Familiarity with workplace programs in the functional area of assignment and the ability to quickly learn about EWS programs to be a valuable contributor.

Ability to maintain confidentiality.
-
Experience maintaining and utilizing various HCM systems.
-
Knowledge of employment-related legal requirements

Effective verbal and written communication and interpersonal skills and ability to work across various teams.

Strong attention to detail and follow-up skills.

High sense of urgency and ability to multi-task. Demonstrated ability to follow-through and perseverance to complete projects in a timely manner.

Must demonstrate professionalism, a high level of customer service, and confidentiality.

Proficient in collaboration and Office tools (Word, Excel, PowerPoint, Outlook, SharePoint, Teams, etc.)

Physical Requirements
Working conditions consist of a normal office environment. Work is primarily sedentary and requires extensive use of a computer and involves sitting for periods of approximately four hours. Requires visual acuity and dexterity to view, prepare, and manipulate documents and office equipment including personal computers. The base pay scale for this position in:
Phoenix, AZ in USD per year is: $29.00-$32.00 per hour.
Additionally, candidates are eligible for a discretionary incentive plan and benefits.
