Summary:
Assists with maintaining daily operations of Dexcom Japan facility by performing administrative duties, office reception, and non-technical project completion using an internal customer perspective typically from initiation through delivery. Coordinate cross-functional teams through meetings and progress measurement activity which bring distinct, specific projects to completion both on time and within budget.

Essential Duties and Responsibilities:

Manage all aspects of space/infrastructure planning (ex: moves, additions, changes to workstations) and provide answers, resources, and solutions when requested

Ensure office efficiency by maintaining common areas, organizing procedures, handling correspondence, managing file systems, mail/packages logistics, and overseeing supplies and equipment

Overseeing initiatives and projects from ideation to implementation working with leadership to implement, monitor and present the progress of plans and goals
-
Plan and coordinate onsite and offsite workshops and meetings. Meetings with vendors and contractors necessary to complete planned objectives.

Manage internal communications on office environment, solutions for productivity, and employee engagement. Assist management with preparation and dissemination of communications.

Ensure compliance with local regulations and company policies including security.

Manage and operate the safety and health committee which is required by the government.

Maintain various records and documents for company

Work directly with General manager to support all aspects
-
Provide administrative and clerical support to department managers as required in both English and Japanese.

Interface with Dexcom San Diego and other regional offices as appropriate to ensure consistency of site activities and management, prompt delivery of communications, logistics assistance and other services as required

What makes you successful:

You must have At least 5-10 years of experience as an office manager or Secretarial or Executive Assistant related administrative role
-
You have flexibility and willingness to work on both strategic and hands-on matters
-
You have excellent communication and interpersonal skills, with fluency in both Japanese and English.

You must have proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
-
You can have flexibility to adapt to changing priorities and requirements.

You must have Project management skills
-
You are able to cope with occasional travel as required for trainings, employee meetings, etc.
