The Executive Assistant will be responsible for providing high-level administrative support to the VP Engineering & India Site Lead. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The ideal candidate will handle confidential information with discretion and support executive operations, including calendar management, travel coordination, event planning, expense reporting, and administrative functions.

Key Responsibilities:
  • Provide executive-level administrative support to senior leadership.

  • Manage executive calendars and schedules using MS Outlook, ensuring efficient time management.

  • Plan and schedule meetings, including conference room/venue bookings, travel arrangements, catering, and AV equipment coordination.

  • Arrange complex domestic and international travel, including developing itineraries, booking transportation, lodging, and managing last-minute changes.

  • Process expense reports, check requests, and reimbursements accurately and promptly.

  • Prepare presentations, emails, memos, and other written communication materials.

  • Plan and execute local events (in-office/hotels), coordinating with facilities and support teams.

  • Prioritize conflicting demands, proactively handle issues, and follow through on projects to successful completion under tight deadlines.

  • Provide backup support to other administrative staff as required.

Qualifications & Skills:

  • Education: Bachelor’s degree preferred.

  • Experience: 5-7 years of experience supporting multiple senior-level executives.

  • Ability to handle confidential information with sound judgment and discretion.

  • Strong organizational skills with the ability to multitask and prioritize effectively.

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint).

  • Excellent verbal and written communication skills.

  • Strong interpersonal skills with the ability to build relationships across teams and external partners.

  • Professional maturity, proactive problem-solving, and strong decision-making capability.

  • A forward-thinking mindset with the ability to anticipate needs and propose solutions.
