Summary

This is a key role within the Meetings and Events Department, responsible for overseeing and managing the internal specialty meetings program and supporting the self-managed meeting program. This position requires strong organizational skills, attention to detail, and the ability to apply appropriate judgment to effectively and independently coordinate and execute small and large-scale 1-to-2-day meetings and events.

The individual will work closely with internal stakeholders at all levels, third-party meeting vendors, and other meeting vendors to ensure the successful planning and execution of specialty meetings and support of self-managed meetings.

Responsibilities

Program Management

  • Partner with ME Business Partners to determine how best to resource and support relevant meetings.

  • Support DS stakeholders planning small meetings under the self-managed meetings program.

  • Oversee the self-managed meetings tool by:

    • Monitoring meeting request submissions and RFPs to ensure they fit under the self-managed criteria.

    • Acting as a resource to stakeholders.

    • Conducting audits to ensure compliance with established policies and criteria.

    • Providing continuous education to key stakeholders and users.

    • Recommending and implementing improvements to the process and tool.

  • Collaborate with stakeholders to understand their specialty meeting requirements and objectives.

  • Manage venue contract execution, attendee management, and budgeting.

  • Monitor and track meeting budgets and venue contracts, ensuring adherence to financial and contractual guidelines.

  • Evaluate and partner with stakeholders in selecting appropriate venues and vendors for specialty meetings.

Meeting Planning and Execution

  • Manage and execute all aspects of specialty meetings, including logistics, food and beverage, vendor/venue contracting, and budgeting.

  • Manage communications with meeting owners and attendees, providing necessary information and ensuring their needs are met.

  • Manage on-site meeting operations, including setup, registration, audiovisual requirements, and troubleshooting.

Compliance and Risk Management

  • Ensure compliance with company policies, industry regulations, and legal requirements.

  • Maintain accurate records and documentation related to specialty and self-managed meetings, expenses, and contracts.

Stakeholder Collaboration

  • Collaborate with internal departments to align self-managed/specialty meetings with meeting goals and objectives.

  • Manage external vendors and suppliers to ensure seamless delivery of services.

  • Partner with the internal facilities team as necessary.

Qualifications

Successful candidates will be able to meet the qualifications below, with or without a reasonable accommodation.

Education Qualifications (from an accredited college or university)

  • High School Diploma – Required

  • Bachelor's Degree – Preferred (areas of study in Hospitality Management, Event Planning, or a related field)

Experience Qualifications

  • 2 years' experience in meeting planning/hospitality – Required

  • 4 or more years' experience in meeting planning/hospitality – Preferred

  • Demonstrated experience in planning and executing meetings and events – Required

Travel

  • Ability to travel up to 10% for domestic business meetings as required.
