The purpose of this role is to coordinate the project sales and configured administration in the IFS business unit and forms the direct link between internal and field representatives. This role supports activities of ATO and configured administration, planning, scheduling assembly and packing. In addition, this role plays a support coordination role to ensure the effective implementation of site audits and sales outcome activities for Process business unit product sales.

  • Prepare, coordinate and follow up customer project and Process site audits activities to drive sales and service activities and enquiries across a wide spread of products available within the industrial business domain.
  • Monitor, track and report on the status of project or audit deliverables to ensure time, costs and quality metrics are in line with assigned and approved project plans.
  • Supports field sales and engineering to process project sales (capital equipment- IAF), configured/non inventory data entry and Process site audit activities in accordance with company practice to drive sales within the business domain
  • Support activities of the ATO and configured administration functions, including planning and assembly schedules, packing co-ordination and final sign off of capital equipment (photograph included) and invoice sales revenue in accordance with company practice.
  • Champion/coordinates ATO administration activities, schedules meetings and takes minutes for coordinating project sales activities.
  • Daily maintenance of customer data and other sales data for current project/audit customers into Oracle and CRM.
  • Assist with the administration of work undertaken by contractors.
  • Directs general enquiries into channels appropriate to handle them including new customer contacts and matter such as complaints which impact their roles.
  • Coordination of the quality activities for Industrial projects and work proactively with the quality team to maintain the register of CAPA process reporting which allows for IFS to identify problems and provide solutions for the project/audit activities. This role will be responsible for the coordination between local quality and Wuxi quality to ensure our business needs are met by participating in monthly quality review meetings.

Reporting

  • Maintain crucial sales project documents which track progress. File commercial project and audit documents in appropriate data base/library and ensure that all documents are accurate.
  • Prepare and update weekly WIP file and submit to finance.
  • Responsibility for hosting weekly ATO meeting to update all stakeholders on status of projects and items that need to be actioned.
  • Responsibility for hosting bi-weekly process site audit meetings with all stakeholders to ensure update of activities /KPI targets assigned are met and are planned and performed in line company guidelines to meet customer expectation.
  • Publish project revenue plan report to IFS team and Finance on a weekly basis.
  • Publish ready to ship current inventory status report monthly. Present data at ATO monthly meeting to ensure all stakeholders have current Ready 2 Ship updates.
  • Maintains project folder and updates with company insurance certificates and quality certificates.
