The Position
We are looking for a highly organized and proactive intern to join our Site Services team. This role will support various administrative tasks, including community program coordination, facilities management. The ideal candidate will have strong attention to detail, excellent communication skills, and the ability to juggle multiple responsibilities efficiently.
Key Responsibilities:
Administrative Support & Coordination:

Hotel booking for remote worker colleagues

Assist in preparing TV screen visuals for the Communities
-
Support the SOP updates and processes and assist with presentation preparation
-
Help with smaller projects and events such as "Live Well Weeks."

Update inventory numbers and assist with inventory tasks, including the annual Facility team inventory.

Prepare documentation for occupational health examinations
-
Assist with ESG-related administrative tasks
Operational & Facilities Support:
-
Handle tickets submitted to the SAM ticketing system.
-
Participate in weekly building inspections with the Handyman team.

Manage home office equipment handovers and returns.

Assist with physical tasks related to newcomers and leavers
-
Provide support for the new service project and assist in event preparations.
Community Programs & Communication:
-
Maintain monthly contact with the theatre ticket agent

Write and check advertisements for community programs

Submit and manage the event calendar for community programs

Quarterly review and support the maintenance of Community pages
Procurement & Administrative Tasks:

Prepare communications for site services teams (Newsletter, Spaces).

Help maintain company car lists, supplements, order confirmation uploads, and other car-related documentation.

Support procurement processes and assist in documentation
Qualifications:
-
Currently enrolled to a Hungarian University in a relevant field (e.g., Business Administration, Operations, Facilities Management).

Strong organizational and time management skills.

Ability to work at least 20-30 hours/week independently and as part of a team.

Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and Canva.

Excellent written and verbal communication skills.

Attention to detail and problem-solving abilities.

Flexibility to take on various tasks and contribute to different teams.
