About the role (What you’ll be doing)
We like to do things a bit different... we are a Telehealth company taking an alternate approach to the traditional pharmacy - we specialise in the online pharmacy space. With consumer habits changing and high demand for digital health services, we have connected patients to doctors and pharmacists with medication delivered from our pharmacy to patients Australia-wide. Our partner pharmacy specialises in the delivery of niche pharmacy services. They are a dynamic team that takes an alternative approach to traditional pharmacy.
We’re looking for a Permanent Part-Time Site Administrator to join our team in Queensland, working Monday to Friday from 8:00 AM to 12:30 PM.
Reporting to the Site Manager, this role is crucial to the running of pharmacy site operations which delivers exceptional pharmacy services to patients through our innovative tele-health platform. You’ll work closely with our ops teams onsite to ensure that every step of our patients’ medication journey is seamless, efficient, and impactful.
This role will provide you with variety in your day-to-day and and a chance to explore and participate in supply-chain operations at a bulk fulfilment type online pharmacy.

Core Responsibilities:
- Support, assist and work collaboratively with the Site Manager, Head Pharmacist and Warehouse Manager to:
- Roster, review and approve timesheets, find replacement staff when rostered staff are unavailable/sick, seek casual roster for weekends, etc…
- Organise team initiatives and site activities.
- Maintain site housekeeping supplies (office supplies and refreshment orders).
- Onboard new staff: site tour, IT access (email, Slack, Notion, Okta).
- Organise or deal with contractors (locums, tradies, cleaners, …).
- Collaborate on ad-hoc site projects (e.g. floor layouts).
- Coordinate inputs from all teams as part of the weekly standup talks.
- Support the Site Manager and Head Pharmacist in implementing site and process innovations and improvements.
- Carry out other duties and responsibilities as reasonably directed by the Head Pharmacist and/or Site Manager.
Supporting Responsibilities:
- Pharmacy Assistant Backup
- Assist Pharmacists by labelling patient medications
- Prepare and assemble packaging materials (e.g., boxes, CMIs, ...)
- Participate in the replenishment of passive cooling packaging in temperature controlled environments (freezer, cold room)
- Assist packing temperature-sensitive medications in the cold room
- Pick, pack, and manifest OTC (over the counter) orders
- Assisting in the pharmacy with other tasks as required (e.g., stocktakes, tidying up, courier collection cage preparation, ...)
- Dispensary Technician Backup
- Dispensing patient medications
- Completing administration tasks
- Liaising with the brands' customer service teams
- Daily reporting tasks (using Google Sheets)
- Assisting in the pharmacy with other tasks as required (e.g., packing, replenishment, stocktakes, ...)
About you (Who you are)
- 1-2+ years experience in site administration/office administration, preferably in a pharmaceutical or healthcare environment.
- Advanced computer skills and proficiency in Google Sheets and the Google Suite (Docs, Slides).
- Strong organisational skills and the ability to manage multiple priorities and projects simultaneously.
- Strong ability to work independently and without supervision.
- Detail-oriented approach.
- Excellent verbal and written communication skills, with the ability to collaborate with site management, staff, and the Eucalyptus team.
- High affinity for detail and precision when working.
- Attention to detail and accuracy
- Ability to take on feedback and use it to catalyse personal growth and change.
- High standard of presentation and grooming.
- Someone with a passion for pharmacy and customer service.

Preferred:
- Experience in Telehealth, pharmacy, or healthcare fulfilment environments is advantageous.
- Certificate 2 in Community Pharmacy is advantageous
- Previous experience dispensing in a pharmacy (preferable)
- Pharmacy experience (preferable)
