Job Description

The Senior Personal Assistant (PA) will provide high-level administrative support to senior executives, ensuring the smooth operation of their daily activities. This role involves managing schedules, coordinating meetings, handling correspondence, and performing various administrative tasks to support the executive team. The role will also include duties of coordinating administrative activities, help with organising social events and providing support to staff and visitors. Additionally, the Senior PA will manage a team of Personal Assistants, providing guidance and support to ensure the team's effectiveness.

Key Responsibilities:

· Manage and maintain executive schedules, including arranging meetings, appointments, and travel itineraries.

· Prepare and edit correspondence, communications, presentations, and other documents.

· Handle incoming and outgoing communications, including emails, phone calls, and mail.

· Coordinate and organise meetings, including preparing agendas, taking minutes, and following up on action items.

· Assist with the preparation of reports, presentations, and other documents for executive meetings.

· Maintain confidential files and records, ensuring they are organized and easily accessible.

· Liaise with internal and external stakeholders on behalf of the executive team.

· Manage and lead a team of Personal Assistants, providing guidance, support, and performance management.

· Perform other administrative tasks as required to support the executive team.

· Manage office supplies and equipment, ensuring that they are well-stocked and in good working order

· Coordinate and organise off-site meetings, company event management, summer and winter socials

Qualifications

Essential Qualifications:

· Bachelor’s degree in business administration, Management, or a related field.

· Proven experience as a Personal Assistant or Executive Assistant, preferably in a senior role.

· Excellent organisational and time management skills.

· Strong written and verbal communication skills.

· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

· Experience of managing an effective team

· Experience of arranging corporate social events

· Knowledge of office management systems and procedures

· Experience in a corporate environment, preferably in the aviation or consultancy.

· Experience in managing a team of Personal Assistants or administrative staff.

· Ability to multitask and prioritise tasks effectively.

· Strong attention to detail and problem-solving skills.

· Professional demeanour and ability to maintain confidentiality.

· Ability to work independently and as part of a team.

· Strong interpersonal skills and ability to build relationships with stakeholders.

· High level of discretion and professionalism.

· Proactive and able to anticipate the needs of the executive team.

· Adaptable and able to handle a fast-paced work environment
