Role Purpose
Aesop are seeking a dynamic and results-driven Senior International Logistics Coordinator (Senior Customer Care Coordinator - Outbound) in a full-time role operating with a hybrid working pattern, based at our global head office in Collingwood.
Reporting to the IDC Customer Care Manager, you will be managing a team of 3-4 Customer Care Coordinators and will be responsible for processing and managing requirements for our IDC & Customer Care network.
You will oversee the day-to-day relationship with our regional S&OP and Logistics teams, freight forwarders and 3PL partners. You will also work with the Corporate Office and all the Supply Chain teams globally to maintain communication relating to order management & outbound process.
Key responsibilities (not limited to)
- Own and manage the Export schedule and operation plan with the warehouse
- Improve operational workload and balance capacity through better shipping schedules, initiatives of process improvement (system and operational organisation)
- To manage communications relating to exports and delivery dates, ensuring that all DO’s (Delivery Orders) are created and shipped on time and relevant stakeholders in regions, & external partners are updated.
- Shipping documents are created & shared accordingly
- Ensure all DO’s (Delivery Orders) are picked & packed and invoiced in the same month
- Ensure that all subsidiary pricing is accurate in accounting system.
- Monitor the performance of relevant logistics providers, ensuring they are aware of deadlines, priorities, and special instructions, collecting KPI data, attending regular site visits and governance meetings.
- Address performance or operational issues with providers and escalate it accordingly
- To pro-actively seek & drive process changes and improvements to create efficient and effective practice to scale up the business & achieve higher efficiency in work-streams
- Lead the customer service team, ensuring full visibility, information and actions are fully aligned with the customers' requirements
What we are looking for
- Strong experience in international freight management and processes.
- Strong experience with tender processes
- Team management and development experience, sharing best practice, issue resolving and cultivating a learning and development environment within the team
- Attention to detail, structured/organised, solution/outcome orientated, resourceful and timeline driven
- Advanced Excel skills and experience with reporting
- Ability to build effective and influential relationships in a cross-functional and international team environment
- An advocate for process improvement
- Excellent written and verbal communication and a proven ability to communicate with key stakeholders across the business in an effective and timely manner
- Experience with NetSuite or X3 (or similar ERP) an advantage
