The Senior Facilities Coordinator at Intelsat's Chicago, Illinois property plays a pivotal role in overseeing the management and operations of facility services, ensuring a safe, efficient, and functional environment for staff and visitors. This dynamic position encompasses a diverse range of responsibilities, including service contract and vendor management, budgeting, space planning, and additional support services. The Senior Facilities Coordinator also oversees contractor teams and daily operations, such as maintenance requests, custodial duties, event planning, and budget preparation and tracking. With a focus on minimizing business interruptions, this role requires a high level of organization, exceptional attention to detail, and strong problem-solving skills to address customer service inquiries effectively.
What you will do
- Oversees all aspects of service contracts including janitorial services, concrete and carpet cleaning, data/server room maintenance, onsite vending, coffee services, interior and exterior landscaping, and pest control.
- Oversees facility-related projects, including renovations and upgrades, ensuring they are completed on time and within budget.
- Acts as the primary contact for all facility-related issues and actively participates in the Emergency Response and Safety Management Teams.
- Engages with personnel at all levels across the organization to ensure effective communication and collaboration.
- Builds effective cross functional relationships with external partners and internal stakeholders (IT, HR, leaders, etc.)
- Oversees maintenance activities related to facilities support equipment, ensuring optimal performance and safety.
- Assist in developing and managing the facility budget, tracking expenses, and identifying cost-saving opportunities.
- Coordinates events and handles furniture setup as needed, enhancing the overall experience for participants.
- Manages the development of statements of work for vendor services, supports the review of contractor proposals, and the negotiation and procurement of necessary services and materials.
- Maintains and updates standard operating procedures for facility operations and maintenance to ensure best practices are followed.
- Operates independently with minimal supervision while coordinating property management strategies effectively.
- Responds to after-hours emergencies as an essential employee, ensuring swift resolution of urgent issues.
- Oversees the scheduling of additions, moves, and changes within the space management software, ensuring all databases are consistently updated.
- Provides project management services during construction projects, managing documentation, change orders, budgets, and schedules while ensuring compliance with contractual agreements.
- Supports audits and inspections to maintain high standards in building operations, ensuring safety and efficiency.
- Prepares reports on facility performance, maintenance needs, and safety compliance for management.
Your required experience/skills
- Fully proficient in Facilities Management with at least 3 years of experience including roles in operations and maintenance.
- Can effectively manage and respond to emergency situations, and if required provide on-site response
- Strong working knowledge to effectively interpret blueprint drawings, schematics, layouts, wiring diagrams, specifications, operating manuals, instructions, standard operating procedures and government or jurisdictional guidelines and regulations.
- Knowledge of regulatory requirements, safety standards, and best practices in facility management for example building and environmental codes such as OSHA, ADA, ISO, Clean Air, Clean Water,
- Ability to work independently and under time sensitive deadlines.
- Proven track record of successfully overseeing facility projects from inception to completion, including renovations and space planning.
- This role is subject to ITAR/EAR; candidates must be a US Person (this includes US Citizen, Permanent Resident or Protected Individual such as an asylee or refugee).
- Requirement to be in office 5 days a week

- Project Management Professional Certification or other relevant certifications (e.g., Certified Facility Manager (CFM), Facilities Management Professional (FMP)).
- Demonstrated experience with large event management.
- Has had an active lead role in oversite of property management activities and construction related activities.
- AutoCAD, Revit, Bluebeam and/or VISO hands on experience.
