Job summary
As a Senior Executive Administrative Assistant in our dynamic team, you will lead initiatives from conception to completion, ensuring seamless execution of all deliverables. You will play a crucial role in maintaining confidentiality, exercising sound judgment, and making a substantial impact on the firm. With a focus on structure, attention to detail, and high energy, you will thrive in our fast-paced environment. Your role involves representing the senior leader and team with professionalism and interacting with executive-level clients across various business lines.
Job responsibilities

  • Maintain and manage a busy, complex calendar for senior leadership and the team.
  • Screen incoming calls, prioritizing them while maintaining confidentiality.
  • Coordinate and manage logistics for internal and external meetings.
  • Arrange and coordinate domestic and international travel.
  • Organize all aspects of offsite conferences and external events, including catering and transportation.
  • Manage expense processing, ensuring compliance with policies and guidelines.
  • Assist with staff onboarding and offboarding, including equipment setup and system access.
  • Produce high-quality communications for individuals at all organizational levels.
  • Handle regular activities proactively and communicate any issues or delays.
  • Edit spreadsheets and presentations, ensuring readiness for client meetings.
  • Lead and coordinate ad hoc projects as needed.


Required qualifications, capabilities, and skills

  • Advanced skills in calendar management.
  • Proficient in MS Outlook, Word, Excel, and PowerPoint.
  • Strong interpersonal and communication skills.
  • Excellent telephone etiquette and ability to manage competing priorities.
  • Advanced organizational skills.
  • Demonstrated tact and good judgment in confidential situations.
  • Proven experience interacting with senior management.
