$80,000 USD - $92,000 USD

Specific compensation will be based on candidate’s experience, skills, qualifications, commercial considerations, and other job-related factors permitted by law. At Russell Investments, salary is just one part of our compensation package. Job Description:

Join our Global Administrative Services team as a Senior Executive Assistant, where you will play a vital role in supporting multiple members of our senior leaders and associates, specifically including the Chief Human Resources Officer (CHRO) and the administrative offices of the CEO and President. This role demands a high level of professionalism, agility, and a proactive, solutions-oriented mindset. As the go-to partner for our executives, you will manage complex scheduling, coordinate high-profile meetings, handle sensitive information, and provide seamless communication across all levels of the organization. You’ll also contribute to process improvements, ensuring our operations are efficient and effective.

Key Responsibilities:

Scheduling, Meeting, & Travel Management:

  • Coordinate complex calendars for senior executives, resolving scheduling conflicts and prioritizing essential tasks to ensure time is used efficiently.
  • Plan and manage global travel arrangements, including detailed itineraries, agendas, and travel-related documentation, along with handling multi-currency expense reports.
  • Coordinate and manage meetings from start to finish, including internal and client-facing meetings, using resources for smooth execution.
  • Screen and manage calls, emails, and correspondence, coordinating multi-party meetings, conference calls, and video conferences.

Effective Communication & Strategic Collaboration:

  • Serve as a trusted liaison between executives, department heads, and external stakeholders, ensuring executives remain informed and engaged with key developments.
  • Draft and edit confidential correspondence, reports, and presentations, maintaining accuracy and confidentiality.
  • Collaborate with the administrative team to identify, implement, and streamline processes and policies for enhanced service quality and efficiency.
  • Develop and maintain strong working relationships with executives, team members, and clients, building trust and credibility.

Administrative Support & Project Assistance:

  • Provide high-level administrative support to the CHRO, while offering backup assistance to the CEO and President’s offices as needed.
  • Assist in planning and executing special projects, ensuring deadlines are met and handling sensitive issues with discretion.
  • Actively manage daily tasks, prioritize multiple assignments under tight deadlines, and handle competing demands effectively.

Client Experience & Event Management:

  • Plan and coordinate event logistics, ensuring smooth execution and adherence to corporate standards and policies.
  • Communicate event updates and changes proactively with all stakeholders to ensure seamless experiences for clients and team members alike.

Qualifications & Skills:

  • Bachelor’s degree, with 5+ years of experience supporting C-suite or senior executives.
  • Advanced MS Office Suite skills (Word, Excel, PowerPoint, Outlook); familiarity with OneNote, SharePoint, Teams, Zoom, and other collaboration tools.
  • Exceptional verbal and written communication abilities, with a professional and polished approach.
  • Demonstrated ability to handle multiple, conflicting deadlines with meticulous attention to detail and a focus on high-quality results.
  • High level of discretion, judgment, and professionalism in handling confidential and sensitive information.
  • A dynamic, approachable, and diplomatic individual with strong relationship-building skills.
  • Highly flexible and thrives in a fast-paced, priority-driven environment; proactive and resourceful with a strong sense of urgency.
