The Position
Provides comprehensive support to the Corporate Vice President- Head of Novo Nordisk Inc. (NNI) P&O. Performs a wide range of highly diverse and complex assignments of a responsible and confidential nature. Requires a high level of discretion and collaboration across the organization. Monitors access and redirects correspondence on behalf of the executive based on priorities he/she sets.
Relationships
Directly supports a member of the Executive Team. Interacts with internal and external stakeholders at the executive level requiring skill, tact, influence, and confidentiality. Interacts with global HQ and affiliates on matters of importance. Provides direction/coordination of workflow to other administrative positions within the department/function and/or cross functionally. Participates on the leadership team of the function he/she supports and is a member of the Executive Leadership Team Administrators.
Essential Functions
- Collaborates closely with other administrators, business leaders and global colleagues
- Coordinates and executes output and actions from the leadership team meetings
- Designs, plans, and executes moderate to large scale meetings and off-sites
- Ability to multi-task and identify items that can be delegated
- Functions autonomously, exercises discretion and sound judgment, and works independently on a variety of assignments and special projects
- Performs a variety of routine office support, including but not limited to meeting/travel arrangements and processing expense reports
- May lead moderately complex projects within own department or that have a cross functional nature
- May provide support to team members for general administrative needs such as presentation development, greeting guests, and new hire onboarding
- May support team with tracking budget spend
Physical Requirements
Hybrid role based in the Plainsboro, NJ HQ office. Requires a minimum of 3 days in office, up to 5 as needed.
Qualifications
- A high school diploma or GED required
- A minimum of 8 years of intermediate to advanced administrative or related experience required. Advanced training or administrative certification a plus
- Ability to handle complex sensitive and confidential information
- Ability to interact with all levels inside and outside of the organization along with HQ and global affiliates
- Ability to manage multiple complex priorities
- Ability to understand implications of work and make recommendations for solutions
- Demonstrates leadership abilities
- Most senior level non-exempt position requiring expertise and a high degree of initiative, innovation, and independent action
- Requires demonstrated computer skills and use of Microsoft Office
- Requires in-depth knowledge of the job and a wide and comprehensive understanding of the policies and practices of the organization. Requires a strong understanding of the Company's goals and the strategy to attain them
- Strong customer service skills
