The Senior Executive Admin Assistant (SEA) will provide comprehensive support to PPG’s Investor Relations (IR) Global Director, the Chief Financial Officer (CFO) and Vice President (VP) of Finance. This role involves managing complex schedules, investor events, coordinate meetings, handling travel arrangements and expense processing. Confidentiality and discretion are essential skills.

Responsibilities:

  • Expense and Invoice Processing:
    • Manage expenses and invoices using applications such as Concur and Procurement to Pay, ensuring all policies are followed and items are processed within provided guidelines
  • Travel Management:
    • Coordinate travel bookings, visa applications, transfers, and prepare detailed travel agendas.
  • Investor Events Management:
    • Oversee investor relations outreach calendar to book participation in conferences and field trips from investors to Pittsburgh.
    • Prepare and review materials and correspondence for investor conferences.
    • Assist with creation/modification of presentations, spreadsheets, earnings call packages, and other various documents.
  • Facilities Coordination:
    • Facilitate desk moves, manage stationery supplies, serve as the point of contact for visiting employees and investors, and handle floor approvals.
  • Investor Relations (IR) Synchronization:
    • Working with analysts, prepare and send out press releases, handling Shareholder calls and Computershare confirmations. Working with Audit department to pull together books during earnings.
  • Risk and Compliance:
    • Assess risk when business decisions are made, demonstrating particular consideration for the PPG's reputation, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.

Qualifications:

  • 5+ years of previous office administration experience, preferably within a large and complex financial services or similar organization.
  • Demonstrated can-do attitude.
  • Self-motivated and detail-oriented with a strong ability to prioritize tasks effectively.
  • Consistently demonstrates clear and concise written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills, with the ability to manage multiple priorities simultaneously.
  • Excellent problem-solving skills and the ability to work independently as well as part of a team.
  • Familiarity with project management tools and techniques is a plus.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Adaptability to a hybrid workplace environment.
