Senior Administrator – Bangalore, India

Job Description:

We are looking for a highly organized and detail-oriented Senior Administrator with over 5 years of experience to join our vibrant team. This position plays a key role in streamlining administrative functions while delivering essential support to senior managers and executives. The ideal candidate will bring excellent organizational skills, the ability to manage multiple responsibilities efficiently, and a professional demeanor to represent the company in various capacities.

Responsibilities:

Administrative Support:

  • Provide administrative support to senior managers and executives, assisting with daily clerical tasks and operational needs.
  • Plan and organize meetings, preparing detailed minutes and follow-ups as required.
  • Schedule appointments, manage calendars, and coordinate internal and external events.
  • Prepare high-quality PowerPoint presentations and other visual materials for meetings and reports.
  • Share updates and important information with employees to ensure effective communication across the organization.

 Travel and Logistics:

  • Coordinate travel arrangements, including transportation, accommodations, visas, and ticketing, ensuring compliance with international travel requirements

 Documentation and Reporting:

  • Draft and prepare correspondence such as invitations, memos, and other informative documents.
  • Develop and maintain an organized filing system for efficient document retrieval.
  • Create and update spreadsheets, presentations, and other necessary documents for reporting and decision-making.
  • Compile and provide statistical and budgetary reports.

 Vendor and Process Management:

  • Handle vendor management as part of administrative responsibilities.
  • Identify and implement process improvements.

Facilities Management:

  • Oversee daily facility operations to ensure functionality, cleanliness, and compliance with safety and environmental regulations. Conduct inspections to address maintenance needs and safety hazards.
  • Manage facility projects and implement preventive maintenance programs for systems like HVAC, plumbing, electrical, and security to reduce downtime and extend asset lifespans.

Qualifications:

  • Bachelor’s degree in business administration or a related field preferred.
  • Over 5 years of experience as a Senior Administrator or in a similar administrative role.
  • Proven experience as a Senior /Office Administrator or in a similar administrative or operational role.
  • Proven experience in managing facility operations, including maintenance, compliance, and project management.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Strong organizational and multitasking skills, with keen attention to detail and the ability to prioritize effectively
  • Excellent verbal and written communication abilities.
  • Comprehensive understanding of international visa processes, ticketing, and other travel-related formalities.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Problem-solving skills and the ability to work independently under minimal supervision.
  • Professional demeanor and a customer-oriented approach.

  • Exceptional organizational and multitasking capabilities for managing both administrative and facilities operations.
  • Proficient communication skills, both written and verbal.
  • Strong analytical skills, with an ability to derive insights from data.
  • Familiarity with modern communication tools, including Slack.
