The Special Programs Division (SPD) provides a broad range of programmatic and technical support to the Space Domain Awareness & Combat Power (SSC/SZ) organization responsible for the development, acquisition, and integration of essential space superiority systems. The division includes over 100 engineers distributed through four subordinate organizations.
We are seeking driven and confident Senior-level Administrative Assistant, who provides strategic support to the General Manager and their team. As an integral member of the division's management team and focal point for the division, the individual provides collaborative administrative leadership to drive efficient and effective operations. This person contributes to key business-related decisions, proactively resolves issues, takes ownership of processes and procedures, and works closely with leaders, colleagues, external customers, and contractors to ensure seamless operations while meeting internal/external deadlines and requirements.
Work Model
This is a full-time position based in El Segundo, CA that can support occasional telework, as business needs allow.
What You'll Be Doing
- Executes complex calendar, meeting and event planning, ensuring strategic scheduling and conflict resolution
- Prioritizes critical issues and information to support efficient decision making for leadership
- Acts as a trusted partner and representative for the GM, fostering collaboration across Aerospace Enterprise Services, internal management, government customers, contractors, and external senior leaders
- Serves as a colocation point of contact for customer leadership by coordinating requests, approvals, documentation and processes between customers and Aerospace Enterprise Services, while maintaining records and attending required training/meetings to ensure seamless operations.
- Enhances division processes and systems to drive organization, efficiency and industry-leading best practices
- Oversees coordination of division employee support, including office space management, on-boarding, timesheet administration/auditing, training requirements, supply/equipment procurement
- Provides input on GM/Division-level activities , ensuring effective communication, coordination and follow-up
- Coordinates and facilitates special projects, tracks actions items and deliverables
- Coordinates division, corporate, and customer reports/deliverables/org charts (compile/edit/publish)
- Arranges travel coordination, logistics, and expense reporting for leadership
- Collaborates with admins across the division and corporation to enhance efficiency and consistency
- Leads by training and mentoring admins and is a role model by demonstrating professionalism, team collaboration, technical expertise, and leadership behavior that is consistent with the company's values
What You Need to be Successful
Minimum Requirements:
- High School Diploma, GED or equivalent is required
- Advanced administrative skills: project coordination, strategic execution of tasks, organization, detail-oriented, writing, and proofreading
- Advanced technological fluency across a wide range of tools and platforms such as Microsoft Office applications including Outlook, Word, PowerPoint, Teams, SharePoint and Excel
- Advanced communication & interpersonal skills: leadership, collaboration, resiliency, strategic thinking, problem-solving, emotional intelligence, judgment, business acumen, and decision making, across all levels of the organization
- Ability to rapidly adapt to changing environments and anticipate needs of the organization
- Ability to handle sensitive and personnel-related information appropriately and support sensitive management functions
- Ability to work independently and/or cooperatively with a team to proactively initiate activities, resolve issues, and deliver innovative solutions with minimal direction within timelines
- This position requires TS/SSBI/SCI security clearance, which is issued by the U.S. government. U.S. citizenship is required to obtain a security clearance.
How You Can Stand Out
It would be impressive if you have one or more of these:
- Prior experience as a senior admin or similar role
- Familiarity with enterprise software packages such as Concur, Workday, JIRA, Confluence
- Familiarity with Aerospace corporate organizational structures, policies, processes, and practices
- Experience working in a customer facing organization
- Experience with classified procedures, processes, and data handling
- A current and active TS/SSBI/SCI security clearance, which is issued by the U.S. government is highly preferred. U.S. citizenship is required to obtain a security clearance.

The grade-based pay range for this job is listed below. Individual salaries within that range are determined through a wide variety of factors including but not limited to education, experience, knowledge and skills.
