Vestmark is looking for a Senior Administrative Assistant to provide full administrative support to the CEO with additional assistance to the executive team. The role will report to the Chief People Officer to assist management with daily and long-term strategic initiatives as well as play a key role in assisting with employee engagement. A successful candidate will be able to fully meet the executive team's requirements and to provide services which significantly contributes to their overall performance and effectiveness.
Responsibilities:
- Calendar management (through Microsoft Outlook) primarily for the CEO and for several Executive team members which includes scheduling, prioritizing and managing conflicting priorities.
- Coordinate internal and external executive-level meetings, being responsible for meeting planning, organization, scheduling, booking conference rooms, catering and distributing meeting materials.
- Facilitate quarterly Board of Directors meetings and related logistics.
- Support the CEO and Chief People Officer to plan and organize quarterly team meetings.
- Support the Chief People Office as a program manager for the company’s Employee Engagement program, in partnership with the human resources team.
- Assist the Talent Acquisition team to schedule executive-level candidates for interviews.
- Process travel and expense reports for Executives using the Travel & Expense system.
- Main point of contact between Executives and with employees/clients.
- Respond promptly to Executives’ queries, assessing their needs and suggesting effective solutions.
- Draft and design presentations and reports using Microsoft Office Suite, particularly with PowerPoint, Word and Excel
- Work on various projects in collaboration with other supporting members of cross-functional teams
- Other duties as assigned
Requirements:
- 3+ years of administrative assistance experience
- Associate's degree required, bachelor's preferred
- Expert-level experience with Microsoft Office, specifically Outlook, Word and PowerPoint
