The New York Independent System Operator (NYISO) applies cutting-edge technology to operating a reliable electricity system, managing competitive markets for wholesale electricity, and planning for the Empire State's energy future.  The NYISO invites applications for a full-time Senior Administrative Assistant.

This position will support the administration of three executive functions at the NYISO: the office of general counsel, the corporate compliance program, and the corporate secretary. The candidate will (i) support the administration of NYISO’s in-house legal department, (ii) support the company’s compliance function in conjunction with the senior compliance attorney, compliance advisor, and non-legal subject matter experts, and (iii) support the corporate secretary on matters related to the NYISO board of directors, corporate records, and C-suite clerical duties. The position will have a dual reporting relationship with the Executive Vice President, General Counsel/Chief Compliance Officer and the Secretary to the Board of Directors. The candidate must possess exceptional organizational and communication skills, be able to process and protect confidential and highly sensitive information, and be capable of functioning with a high degree of autonomy. The Candidate must be willing to undertake a wide variety of responsibilities ranging from day-to-day secretarial and clerical duties to more complex legal, compliance, and corporate matters.

ESSENTIAL DUTIES and RESPONSIBILITIES 

  • Provide administrative support and report directly to the NYISO’s Board Secretary on various tasks related to the board of directors and senior leadership team
  • Provide administrative support to General Counsel and in-house legal and compliance team
  • Support the compliance team and internal SMEs by reviewing and coordinating timely responses to external requests for sensitive information related to the New York power system and wholesale electricity markets
  • Support the administration of the corporate insurance program including tracking renewal deadlines, processing invoices and coordinating communications with the external broker.
  • Administer NYISO’s e-billing system used by outside counsel; create new matters, establish user access to the e-billing system and coordinate with outside law firms on all invoices.
  • Process all vendor invoices, including monthly invoices from outside counsel on all matters submitted through the e-billing system, and coordinate processing and payment with the Finance department.
  • Track internal and external Legal expenditures and assist with annual budget documentation.
  • Review and prepare various written internal and external correspondence, reports and other company documents. 
  • Process incoming mail and other correspondence to ensure timely distribution to appropriate recipients for review and response as necessary. Manage all telephone and other communications.
  • Draft itineraries, schedule and arrange internal and external meetings and business travel, manage attorneys’ calendars, and prepare expense reports.
  • Manage recordkeeping and serve as custodian of legal department documents and records.

QUALIFICATIONS:

  • Associate’s Degree in Office Technology, Business Management, or related field. Bachelor’s Degree preferred.
  • Ten years of relevant experience in an executive level capacity essential.
  • Excellent organization skills and the ability to handle a variety of tasks and activities necessary.
  • Must be a self-starter, able to work independently, be detail oriented and must be able to maintain a high degree of confidentiality.
  • Experience in the energy industry helpful; or equivalent combination of education, training and experience.


ADDITIONAL REQUIREMENTS

  • Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence and procedure manuals.  Ability to effectively present information and respond to questions from managers, market participants and the public.
  • Ability to calculate figures and amounts such as percentages.  Ability to apply other basic math and budgeting concepts.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Ability to interpret a variety of instructions furnished in written oral, diagram or schedule form.
  • Advanced competency in Windows operating environment using MS Office applications, e-mail and internet programs. Advanced computer skills preferred and ability to navigate the Inter and Intranet important.

PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly required to talk or hear.  The employee frequently is required to stand, walk, sit and use hands to perform routine office tasks.  The employee is occasionally required to reach with hands and arms.  The employee must occasionally lift and/or move up to 15 pounds. WORK ENVIRONMENT

The noise level in the work environment is usually moderate.  Contact with staff and public will occur.  Travel may be required to attend and/or conduct meetings, conferences and training.­­­­­­­­­­­­ This position will require full-time attendance in office and may require work on nights, weekends or holidays.
