JOB SUMMARY

The incumbent shall act as a highly organized, proactive, and professional Executive Administrative Assistant to provide comprehensive support to leaders and members of GMP Quality Assurance team and will serve as the primary point of contact for internal and external stakeholders, manage the day-to-day administrative functions, and ensure timely and smooth operations in a fast-paced environment. This position has advanced skills in technology systems, including word processing software and data management software, and business emailing software as well as intermediate skills in database and research tools.

This role requires exceptional communication skills, discretion, critical thinking skills, and the ability to multitask effectively. This position makes independent decisions and overcomes challenges using experience and resourcefulness and may lead lower levels in prioritizing and distributing work

Responsibilities for the role shall include, but not limited to, the following:

RESPONSIBILITIES

Administrative support:  Manage and maintain executive calendars, including scheduling meetings, appointments, travel arrangements, preparing expense reports and process invoices. Prepare and organize meeting agendas, materials, and minutes. Collecting materials needed for meetings and other projects as requested. Handle confidential and sensitive information with discretion. Independently prepares and maintains important files.

Communication:  Act as a liaison between the executive team and internal/external stakeholders. Screen and prioritize emails, phone calls, and other correspondence. Draft, proofread, and edit reports, presentations, and communications when necessary. Organize meetings, support note taker activities and ensure meeting logistics are in place to support internal and external meetings. Provide support to external visitors and related needs. Edit, drafts, and produces internal and external communications; independently completes mailings which may include mass merges from database software reports.

Office and Project Management: Assist with the coordination and execution of special projects. Track progress and ensure deadlines are met. Provide research and data analysis as needed. Ensure the executive office is well-organized and equipped with necessary supplies. Oversee the coordination of events, conferences, and team activities. Creates and proofs packets of information; develops documents using word processing and database tools.

Agreement and Payment Management: Assist in reviewing, processing, managing, and tracking contracts and agreements and confidentiality agreements. Coordinate with legal and finance teams to ensure timely processing of documents. Monitor and manage payment schedules, approvals, and reimbursements. Ensure compliance with organizational policies and procedures related to agreements and payments.

Problem Solving: Proactively identify and resolve administrative issues. Anticipate the needs of executives and take steps to address them.

Education Qualifications (from an accredited college or university)

  • High School Diploma or equivalent required
  • Associate's Degree or equivalent work experience preferred

Experience Qualifications

  • 4 or More Years prior experience required

Physical Requirements

Shipping out large packages/boxes. Moving/arranging file folders in large quantities. Some of these items especially apply to the admins in the Field Sales offices. 5% of Time
