Purpose of function
We secure consistent workplace operations to offer a safe and inspiring workplace and co-worker experience in all sites and legal entities in Supply Area. We do this in several assignments and networks (Meet & greet, Office administration, Operational Safety & Security, Local vendor & contract management, Workplace maintenance and development, IT partners).

As Workplace Operations Leader you lead and develop the WPO assignment and agenda for Core Business Supply in a Supply Area and location.
Job Description
For a specific Supply Area and location, you are responsible to:
- Secure execution of below areas according to the global Supply WPO frameworks in order to provide an inspiring, inclusive and safe office environment for all the co-workers located in the site. - Events in all sites according to Supply and People & Culture calendar (Meet & greet) - The IKEA spirit in the office experience (Meet & greet) - Compliant office and administration operations - Operational Safety & Security (incl. Meet & travel) - Operational supplier management (Vendor and contract management) - Workplace maintenance and Workplace development - IT support (on site & service management)
- Establish and secure the administration financial budget and cost, continuously using resources in an optimal way.
- Manage relations with external authorities in cooperation with other IKEA units, securing legal compliance for workplace operations within SA locations.
- Continuously work with improvements and actively participate in Workplace Operations Matrix.
- Be a member of the Legal Unit Management team together with the Company Representative and representatives from People & Culture Operations and Finance Performance & Operations.
IT:
- To perform and manage planned activities, such as IT installations, upgrades, local rebuilds and maintenance activities according to agreed goals, defined strategies, budget and overall IT investments. Perform preventive maintenance and routine monitoring to ensure continuous uptime of the onsite IT infrastructure.
- To perform all daily tasks according to set procedures, rules and guidelines and ensure that they are aligned within the organization and secure IT communication towards co-workers on site.
- To take necessary decisions and actions to solve issues, as well as priorities issues according to business needs in close co-operation with the global Single Point of Contact (Helpdesk) in an efficient and professional manner issues and know when and how to escalate it in the support chain.
Accounting:
- Secure journal entries, allocations, provisions, accruals, and deferrals, as well as maintaining accurate and up-to-date general ledger documentation
- Secure period closing activities, such as closing sub-ledgers, analyzing variances, reconciling accounts, performing FX revaluations, and reconciling intercompany transactions, to ensure timely and accurate financial reporting.
- Secure the end-to-end process of invoice management, including receipt, verification, and accurate recording for timely payments.
- Ensure expenses, including employee reimbursements and travel expenses.
- Ensure settlements for various payables, ensuring accuracy and compliance with payment terms.
- Ensuring all compliances are met for the Site.
Risk and Crisis Management Team:
- Support in defining, implementing, and maintaining relevant RM&C processes, Steering Documents (SA Working methods, working instructions) and tools to integrate governance, risk & compliance, safety & security in the Supply Areas.
- Part of Supply Area and Bangladesh Crisis management team.
Qualifications
Knowledge:
- Deep understanding of how your everyday work adds customer value by delivering business results
- Good knowledge of country specific conditions
- Good knowledge of IKEA Purchasing Manual
- Good knowledge of Inter IKEA administration area related policies, manuals, rules, especially in respect to Safety and Security and compliance
- Understanding of the IKEA Financial Manual.
- Good knowledge of local laws concerning business & people in respective market
- Good negotiation skills
- Understanding the principles of accounting, the budgeting and forecasting routines
