The Sample Coordinator is responsible for managing product samples, storage areas, and databases for all product development projects and Special Make-Up (SMU) programs for the Specialty Coffee business unit. The Sample Coordinator with the guidance of Sample team leads and Product Managers, is responsible for receiving, routing, shipping, and archiving all factory samples and details, Color Material Finish (CMF) samples, prototypes, and related collateral. They ensure timely internal sample reviews, maintain and reference packaging samples, complete sample quality and compliance check lists, and update any related tracking documents and archival filing. The Sample Coordinator will support our global team with sample management, market retail audits, and related special projects across all materials plastic, stainless steel, ceramics, and glass.
WHAT YOU WILL BRING TO THE ORGANIZATION
- SMU, CMF and New Development Samples and Packaging reviews storage and tracking.
- Receive, label and store samples, packaging, and product assets by program and by sampling phase. Different programs have unique processes and varying priority, customize your work to those needs.
- Review sample quality and execution. Verify if samples align with intent and/or reference images and samples, complete quality and compliance check lists.
- Host sample reviews, present any variance from expectations to reviewers. Ensure their feedback is documented and clearly actionable by stakeholders.
- Store, rotate and archive samples according to approval phase, color samples, mock stores, and tops as needed. Photograph samples as needed.
- Implement and maintain check out system. Protect product samples, packaging and related assets from damage and loss, make sure that there is always a back-up archive.
- Update team tracking documents and systems in a timely manner and communicate sample arrival and reviews. Maintain and archive samples and sample related documents, so at all times reviewers can reference historical files and decisions related to product samples.
- Maintain inventory of blank samples and pull apart pieces, to ensure there is always sufficient stock for prototyping and presentation.
- Optimize in office storage. Archive samples at offsite warehouse. By the end of the day, packages received must be processed and storage areas clean.
- Support team in sample request submissions to our overseas teams when needed, including status updates and approvals.
- Gather and Maintain Market Data, Assortment Share Outs.
- Assemble seasonal displays in our office to celebrate the launch of each collection. Coordinate and notify cross functional teams when current in store collections are available for review at the office.
- Photograph all assortments in stores day of launch as well as photograph and document drinkware categories in competitive retail environments each season.
- Routinely gather item data related to the retail drinkware market. This will include monthly visits to key retail stores and online sites.
- Document specific attributes and details, maintain spreadsheet accuracy.
- Gather competitive samples and reference ideas.
- Other duties as necessary.
SKILLS AND EXPERIENCE WE WOULD LIKE YOU TO HAVE
- Strong interest in consumer products, visual merchandising, and graphic applications.
- Ability to take initiative and prioritize tasks; good time-management, organizational, problem-prevention and problem-solving skills.
- High level of data entry accuracy and close attention to visual details.
- Strong analytical ability with active listening skills.
- Excellent written and oral communication skills; ability to communicate effectively and project a professional image when giving and taking information in writing and in person.
- Flexibility and willingness to adapt to changing business needs and deadlines.
- Interest or experience working directly with product management, sales, and graphics departments.
- Basic knowledge and willingness to learn Microsoft Word, Outlook, Excel, PowerPoint, and other related systems.
- Good personal skills with the ability to effectively work with individuals and groups at all organization levels - including international teams.
- Ability to respond effectively to sensitive inquiries or complaints.
- Ability to maintain confidentiality of sensitive information.

Education and Experience
- AA or 4-year degree required in product, marketing, merchandising, or a related field.
- 1-3 years of experience in the consumer goods industry, retail sales, or creative industry preferred.
Interaction and Environment
- Work areas are inside in a climate-controlled environment with moderate background noise.
Physical Activities Required to Perform Essential Functions
- Sitting/Standing/Walking: Approximately 30% of time is spent working at a desk. Balance of time, approximately 70% is spent moving around work areas.
- Speaking/Hearing: Ability to effectively communicate with co-workers, customers, and outside agencies, by telephone and in person.
- Vision: Ability to effectively use a computer screen and interpret printed materials, memos, and other appropriate paperwork. High degree of accuracy with color and fine pattern details.
- Lifting/Carrying: Ability to transport and lift heavy boxes (approximately 50 lbs.), repeatedly. Must be able to lift boxes onto upper shelves, may require step stool.
- Stooping/Kneeling: Ability to access files and supplies, ability to pack, unpack and lift boxes off the ground.
- Reaching/Handling: Ability to input information into computer systems and retrieve and work with appropriate paperwork, equipment, and supplies. Reach upper shelves and lower shelves to extract samples and small parts.
Salary: $62,881.25 - $82,500.00

The base pay range for this position is for a successful candidate within the state listed. The successful candidate's actual pay will be based on multiple factors, such as job-related knowledge, skills, qualifications, and experience. tms is a total rewards company, which includes rewards beyond base salary. At tms, full-time employees are eligible for an annual bonus, based on company and individual results.
