About the Opportunity:

Toppan Merrill is seeking a dynamic and proactive executive sales assistant to join our growing London office. In this role, you will be instrumental in supporting our growth strategy and ensuring the seamless operation of our business.

What are we looking for? 

We are looking for a business support partner who reports to the Managing Director and head of EMEA Sales. The ideal candidate will have a positive, solution-oriented attitude, and a professional demeanor. This role requires someone who can manage the team's sales, support marketing, finance, and operations effectively and is a creative problem solver.

What you'll be doing:

  • Operational Support: Autonomously ensure the smooth running of the business, supporting the EMEA Sales team with daily operations and contributing to our growth strategy.
  • Executive Assistance: Provide strategic support to the Managing Director by managing client appointments, internal meetings, and general administrative tasks such as expenses, travel arrangements, and document creation.
  • Team Coordination: Manage the team's needs, champion process improvements, and oversee all aspects of the employee lifecycle including recruitment, onboarding, and performance management.
  • Technical and Digital Support: Address technical issues and work towards implementing digital platforms to enhance productivity and collaboration.
  • Process Improvement: Define new business processes to minimize risk and lead efforts to achieve operational efficiency and a positive working environment.
  • Marketing Support: Assist the EMEA Sales team with their marketing strategy, using your initiative and independent judgment.
  • Client and Data Management: Maintain records of client correspondence, manage client data within CRM systems, and assist with client event coordination and invoicing queries.
  • Event Coordination: Help coordinate team events to foster a productive and collaborative work environment.
  • Research and Reporting: Undertake research and assist with project work as needed and help create reports while ensuring Salesforce (CRM) is up to date.
  • Software Proficiency: Proficient in Word, Excel, and preferably knowledgeable in Salesforce and Seismic.
  • Diary and Meeting Management: Manage diaries and schedule meetings, assist with client events, conferences, and sponsorships, and monitor the Managing Director’s inbox.

About You:

  • Relevant work experience essential
  • 5+ yrs in an executive support function
  • Familiarity with Salesforce or a similar CRM platform
  • Familiarity with Xcel. Word, PowerPoint, Teams, and various social media platforms
  • Passion for learning, humble curiosity and a willingness to grow professionally
  • Bi-lingual in German, French or Spanish useful but not essential
  • Previous events management including marketing support extremely helpful

We understand that your skills deserve recognition. That's why we offer a competitive pay scale ranging from £50-60k annually, based on experience and expertise. We believe in compensating our dedicated team members fairly for their hard work and commitment. Please note that actual salaries may vary within, above, or below this range based on factors such as education, training, experience, professional achievement, business needs, and location.
