WHAT YOU CAN EXPECT

  • Submit proper documentation to vendor to support development of internal project budgets, assist with the preparation of Medicare Coverage Analysis for new clinical trials; and provide budget documentation.

  • Coordinate with vendors to ensure that required protocol initiation steps are completed prior to enrolling subjects, such as execution of subcontracts with external service providers.

  • Administer financial management of vendor agreements including purchased services for non-Franciscan Alliance entities.

  • Help develop and maintain a Charge Description Master for research.

  • Follow institutional guidelines pertaining to institutional overhead and start-up fees (i.e., prevailing rates, distribution/use).

  • Maintain accurate billing and financial management within CTMS including fee schedule for research charges and sponsor/vendor pricing.

  • Review Budget Analysis documents from vendors for accuracy and completeness. Enter budget into CTMS program. 

  • Review Medicare Coverage Analysis documents from vendors for accuracy and completeness. Build billing protocols and requirements in EPIC

  • Utilize negotiated contracts and billing grids to reimburse providers for all services associated with clinical protocols, including clinical services, start-up services, and overhead in a timely fashion.

  • Read through source documentation to resolve complex queries related to research billing in a timely fashion.

  • Assist with data collection to support accurate month-end department financial metrics including:  Accrued Revenue/Cash Receipts/Visits/Enrollment.

  • Serve as a liaison with the Coordinated Business Office and the Ambulatory Business Office to communicate and resolve research billing issues. Escalate issues to manager and director as needed.

  • Create and reconcile invoices for all items requiring invoices.

  • Provide monthly reports to operations manager of all departmental financial activity.

  • Ensure that billing activities for clinical trials that involve human subjects are conducted to protect the rights and welfare of the subjects.

  • Maintain working knowledge of regulatory requirements for research billing compliance.

  • Conduct project closure audits to ensure compliance with CTA/Budget, institutional policies, and third-party payors.

  • Develop and meet performance standards that optimize financial management of clinical research conduct.

  • As needed, develop, implement, monitor and analyze performance improvement plans in the area of financial management for the Office of Research Services.

  • Participate in the development and revision of financial policies and procedures as needed for the Research Services Department.

  • Facilitate Research Services staff professional relationships between FHI departments, Investigators, and Sponsoring Agencies.

  • Provide ongoing training and staff development for existing Investigators and research staff (FHI, FPN, private practice, research foundation) in FHI research finance process/policy.

  • Train new Investigators and research staff (FHI, FPN, private practice, research foundation) in FHI research finance process/policy.

QUALIFICATIONS

  • Bachelor's Degree in Accounting, Business Administration, Healthcare Administration, or Research Administration required

  • 3 years of Accounting, Business Administration, Healthcare Administration or Research Administration experience required

  • EPIC certification required within 1 year of hire
