JOB FUNCTION
The Recruiting Coordinator will provide administrative support to the recruiting team and assist with all elements of the recruiting processes at Viking. This role reports to the Director of Recruiting.
Responsibilities may include, but are not limited to:
- Provide administrative support to up to three recruiters, including dynamic calendar and phone management, expense processing and travel arrangements.
- Assist with the full lifecycle of lateral and campus recruiting activities by maintaining professional communication with candidates in a fast-paced environment.
- Coordinate and schedule a high volume of candidate interviews with Viking professionals: create calendar invites, prepare briefing materials for interviewers and candidates, book meeting spaces, and coordinate candidate travel as needed.
- Manage Applicant Tracking System (Greenhouse), including data entry, running reports, and synthesizing information to update presentations for quarterly leadership meetings.
- Review a shared inbox by responding to inbound inquiries and/or forwarding to the appropriate point of contact.
- Post job descriptions internally and externally, including on Viking Careers and campus portals.
- Assist with campus events and orientation planning: booking venues, ordering catering, communicating with campus stakeholders (career center contacts and club members), scheduling meetings and coordinating webinars and training sessions.
- Manage expense reimbursements for candidates and identify budget forecasting as needed.
- Handle legal approval, transmission, and filing of sensitive contract agreements and files.
- Back up other HR Assistants on team coverage of calendars, phones, and overflow scheduling.
- Collaborate across the firm including joining recruiter calls with hiring managers, troubleshooting with IT and gathering availability with other assistants.
- Contribute ideas to enhance team processes and efficiencies.
QUALIFICATIONS
The ideal candidate will have:
- 2+ years of administrative or operations experience; recruiting experience is a plus.
- A Bachelor’s degree with an outstanding academic record.
- Strong technical knowledge with the ability to pick up and customize new and existing HR systems.
- Microsoft (Excel and Outlook) experience required; Greenhouse experience is a plus.
The base salary range for this position in New York City is $80,000 to $100,000. In addition to base salary, Viking employees may be eligible for other forms of compensation and benefits, such as a discretionary bonus, 100% coverage of medical and dental premiums, and paid lunches. Actual compensation for successful candidates will be individually determined based on multiple factors including, but not limited to, a candidate’s skill set, experience, education, and other qualifications.
