Job Description :

The Receptionist will be primarily responsible for greeting visitors, managing phone calls, and providing relevant and appropriate information to clients in an efficient manner with an outstanding customer service approach. The individual will work independently to handle routine situations at the reception, demonstrating professionalism and diplomacy.
 

Key Responsibilities

Reception Duties

  • Greet visitors and clients;

  • Answer the phone and redirect calls;

  • Direct callers to the appropriate person or department;

  • Take messages and forward them to the appropriate individuals;

  • Manage the reception and distribute mail;

  • Provide basic information about the company;

  • Process office supply orders;

  • Place orders for meetings;

  • Perform content updates and integrations on the intranet;

  • Assist with filing and archiving documents as needed;

  • Perform other administrative tasks or special projects.
     

Office-Related Tasks

  • Maintain cleanliness of conference rooms;

  • Ensure cleanliness of the corporate kitchen;

  • Handle catering orders for meetings;

  • Ensure proper organization of the photocopier room (checking paper, toner, etc.);

  • Support administrative assistants during breakfasts and lunches for various committees and boards of directors.
     

Education and Work Experience

  • Completed a diploma in secretarial studies (DEP) or a college degree (DEC) in a related field;

  • A minimum of five years of experience in a receptionist role.
     

Key Skills

  • Strong experience with a telephone management system;

  • Proficient in MS Office Suite, GSuite;

  • Excellent command of both French and English. The position requires interaction with stakeholders outside of Quebec;

  • Excellent customer service skills;

  • Strong ability to handle multiple requests simultaneously and manage priorities;

  • Diligence and autonomy;

  • Sharp sense of diplomacy and discretion.

  • Knowledge of the Cisco Attendant Console system is an asset.
