Summary
The Proposal Writer plays a vital role in crafting engaging, client-centered narratives for RFPs, RFIs , and proactive proposals. This role involves close collaboration with associates within the Client Resource Center (CRC) team, leadership and subject matter experts (SMEs) to ensure that every aspect of the proposal is clearly articulated, compliant, and aligned with TRIMEDX's brand and messaging standards. By providing comprehensive writing support, the Proposal Writer contributes to delivering high-quality, competitive responses that effectively communicate TRIMEDX's value proposition.
The CRC is a dynamic hub for client communication, nurturing relationships with sales, operations, marketing, and subject matter experts in every department.
Responsibilities
Content Development (40%)
• Craft Compelling Responses: Work in close coordination with the Proposal Manager and leadership to create clear, concise, and compliant content for assigned proposal sections.
• Incorporate Win Themes & Client Focus: Assist the Proposal Manager in developing a proposal structure, integrating key selling points, value propositions, and storytelling techniques that speak directly to client requirements and expectations.
• Leverage Existing Materials: Identify and adapt relevant pre-written text from previous proposals or content libraries, rewriting as necessary to fit the current bid’s needs.
• Meet Deadlines & Escalate Issues: Deliver completed sections to the Proposal Manager on schedule, flagging potential roadblocks early.
Collaboration with SMEs (30%)
• Gather Technical Details: Interview subject matter experts (SMEs) across Business Development, Operations, and other functions to capture detailed, accurate information.
• Translate Complexity: Turn complex technical or operational data into accessible, reader-friendly narratives that evaluators can easily understand.
• Bridge Communication Gaps: Serve as the go-between for SMEs and the proposal process, ensuring all input is integrated consistently and effectively.
Quality & Compliance (20%)
• Align with Branding & Standards: Work with Marketing and the Proposal Manager to maintain a consistent brand voice, style, and editorial quality across all written content. May conduct technical edits of volumes to ensure compliance and “one voice.”
• Ensure RFP Compliance: Check that each response meets RFP requirements (format, scope, legal compliance) and follows any specified editorial standards.
• Implement Review Feedback: Incorporate edits from stakeholders, track changes in version-controlled documents, and collaborate with graphics leads to ensure visuals match the message.
Content Repository Support (10%)
• Maintain Reusable Content: Provide newly developed or revised text to the Content Manager for indexing in Qvidian or a similar system, ensuring future reusability.
• Update Boilerplate: Periodically review and refresh standard or boilerplate content, retiring outdated passages and refining effective ones for upcoming proposals.
• Archive Final Deliverables: Ensure proposals are properly stored, along with any newly created materials, to enhance the efficiency of subsequent bids.
• All other duties as assigned.
Skills and Experience
• 3+ years in proposal writing is required.
• Proven skills in writing and editing proposal content within a complex business environment.
• Exceptional communication skills with strong attention to detail.
• Familiarity with proposal style guidelines, editorial standards, and compliance considerations.
• Ability to quickly grasp technical or complex service offerings and adapt them into responsive, clear, compelling narratives.
Desired Qualifications
• APMP Foundation-level knowledge or equivalent experience.
• Previous experience in healthcare or a regulated industry.
• Knowledge of proposal automation software (e.g., Qvidian) and content management practices.
Education and Qualifications
• Bachelor’s degree in English, Communications, Marketing, or a related field required is required.
