The Project Coordinator will play a vital role in supporting the Project Management team to ensure smooth, efficient project execution. This individual will coordinate with customers, manage scheduling logistics, and prepare estimates for new clients. Acting as a liaison between clients and project teams, the Project Coordinator will help ensure that each project runs on time, within scope, and with clear communication across all parties. This is an excellent opportunity for a proactive, detail-oriented individual who enjoys working in a collaborative, fast-paced environment.
Key Responsibilities:

  • Customer Coordination: Serve as a primary point of contact for clients, addressing inquiries, gathering project details, and managing communication.
  • Scheduling Logistics: Organize and maintain project schedules, ensuring that key milestones are clearly outlined and communicated to both the project team and clients.
  • Estimate Preparation: Assist in developing project estimates for new clients, collaborating with project managers and relevant departments to provide accurate and timely quotes.
  • Documentation & Tracking: Maintain accurate project documentation, monitor project progress, and update internal systems to reflect changes in scope, schedule, or requirements.
  • Resource Coordination: Assist in organizing and allocating resources, ensuring team members have the necessary materials, equipment, and support to meet project demands.
  • Risk and Issue Monitoring: Identify potential risks or issues in project execution and escalate them to the Project Manager as needed to facilitate prompt resolution.
  • Internal & External Communication: Support clear and consistent communication among all stakeholders, including facilitating meetings and preparing status reports.
  • Continuous Improvement: Contribute ideas for process improvements within the project management team to enhance efficiency and project quality.

Qualifications:
Education: Bachelor’s degree in Business, Project Management, or a related field, or equivalent work experience.
Experience: 1-3 years of experience in a project coordination or administrative role, preferably in a project-based or customer-facing environment.
Skills:

  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication abilities
  • Proficiency in project management software (e.g., Asana, Trello, MS Project) and Microsoft Office Suite
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
  • Strong problem-solving skills and adaptability to changing project needs
