Job Description
As Project Administrator you will follow established procedures and guidelines for project execution and financial control, perform different project support administration responsibilities for assigned Business or project team(s).
Also, you will be in charge of control of compliance with costs, deadlines and quality of the products or services involved. Monitoring physical and financial performance indicators of projects. Direct interface with internal and external customers, establishing a professional and partnership relationship for the smooth running of the entire project.
The participation in the project starts at the Order Entry level, continues during the planning, control, and execution of the project to assure the proper financial performance of the projects assigned, your participation for project financial closure is important.
You report to an Operations Manager.
Will work hybrid from Bogotá, Colombia.
Your Responsibilities:
- You will verify the customer contract/purchase order against the project proposal, using the corresponding checklist.
- You will review with details the accomplishment with standard terms and conditions notifying any deviation.
- You will gather and summarize data to support orders according to Order Entry process, budget, and schedule forecasting for projects and for overall business team.
- You will analyze contracts to ensure compliance to company policy, government specifications and other requirements before doing the Booking approval of new sales. This work is done together with proposal and project management team.
- Financial control of projects tracking costs and expenses, identifying, and analyzing deviations when they occur.
- You will communicate with "Shipping Area" to trigger the process of issuing billing and shipping invoices, paying attention to the tax conditions provided by law.
- You will provide the projects invoicing information on monthly basis, indicating the amounts per BU´s per project to be invoiced in the system and the final invoice to be delivered to the customer.
- You will keep updated administration tools (IFS) for projects administration indicating the accumulated amounts per customer invoices per project.
- You will keep contact with the customer for the invoicing planning, define the required supports and procedures to be used to fulfill the customer standards so that RA shall receive the payments.
- You will communicate with all other strategic and support teams, such as Sales, Purchasing, Operations (Assembly, Warehouse, Shipping), Tax, Logistics, Accounting, and Finance.
- You will ensure the correct maintenance of values and dates in the ERP system, providing accurate billing and recognition information.
The Essentials - You Will Have:
- Bachelor's Degree in Administration, Industrial Engineering or equivalent field.
The Preferred - You Might Also Have:
- English speaking and writing skills (Intermediate).
- Microsoft PowerPoint, 365 working knowledge is required
- 1+ years of experience in this position.
