Proposed Job Title: Program Coordinator

Department: Graduate Studies

Division: Academic Affairs

FLSA Status: Non-Exempt

Reports to: Associate Director, Graduate Studies

Grade: 4

Hourly Range: $20.22 - $24.73

Position Summary: Support administrative routines associated with the graduate program operations, especially those associated with program assessment and special projects.

This is a term position for one year.

Major role functions:

  • Provide administrative support for the MSDE Program Review of the MA in Teaching program.

  • Provide other graduate program support as assigned.

  • Support day-to-day administrative needs of Graduate Studies and its programs and initiatives.


Position responsibilities:

MSDE Program Review Administrative Support

  • Implement communication, documentation, and archiving of data related to MSDE Program Review, using processes, frameworks, and timelines provided.

  • Provide logistical and scheduling support for MSDE meetings and events, including managing space reservations through 25Live.

  • Consult regularly with the MAT Program Director and the Academic Associate Dean, and complete tasks as assigned.

  • Coordinate management of physical and digital storage, including confidential archives, using processes, frameworks, and timelines provided.

  • In compliance with established communication and information systems, contribute to Graduate Studies calendars, meeting agendas, meeting minutes, and shared document archives.

Graduate Program Support

  • Consult regularly with the Associate Director regarding Graduate Studies operations and complete tasks as assigned.

  • Support administrative operations for other graduate programs, as assigned

  • Support administrative operations for signature events and cyclical operations.

  • Provide front desk welcome and guidance to guests and MICA community members.

  • Consult regularly with the Academic Associate Dean regarding curriculum and assessment routines and complete tasks as assigned.

  • Support document collection and archiving using processes, frameworks, and timelines provided.

  • Schedule rooms & meetings, catering & dining reservations, communications with internal & external parties.

  • Maintain field trip documentation archive.

Other responsibilities, as assigned:

  • Contribute to day-to-day physical office operations.

  • With Graduate Studies staff, fulfill operational tasks assigned to support faculty leadership retreats, professional development days, new student orientations, MICA Grad Show series, Commencement, retirement celebrations, etc.

Required skills and experience:

  • Associate’s degree or equivalent work experience

  • Proficiency with Adobe Creative Suite, especially PDF creation, editing, and management 

  • Proficiency with Google Workspace applications, including creating and managing spreadsheets

  • Excellent attention to detail when tracking, entering, and maintaining data

  • Experience working with confidential information

  • Demonstrated excellence in customer service for a diverse population

  • Evidence of excellent verbal and written communication skills

Valued skills and experience:

  • Demonstrated organizational & time management skills

  • Knowledge of accessibility/ADA issues and assets in education and/or art settings

  • Professional experience in education, assessment, or compliance

  • Proficiency in one or more of: Microsoft Office Suite, Zoom, Adobe Creative Suite
