The Procurement Agent is responsible for the delivery of procurement responsibilities within Takeda's overall Source to Pay (S2P) process.
ACCOUNTABILITIES:

  • Walk-through assistance to users on existing buying channels and suppliers, accrual process and set-up new users' profiles
  • Delivery of the end-to-end Procurement process in a compliant, effective and efficient way, with a focus on cycle time and improved user experience.
  • Correct and timely execution of non-contract related POs on behalf of the users, ensuring understanding of key requirements and translating business needs into actions in a timely and efficient manner
  • Managing the requests coming from the users, with a high focus on transactional activities (e.g. PRs and users settings or invoice management), supporting issues management and resolution, also with the support of the Sr. Procurement agents who will act as escalation, and ensuring effective and efficient responses are provided to the users for an improved people experience.
  • Address issues related to non-compliance to procurement and supplier management guidelines to the relevant TBS Teams, and recommend solutions in alignment with Sr. Procurement agents
  • Support implementation of global initiatives (e.g., eInvoicing, buying channels, P-Card, IVT, BuyEasy, ...)
  • Ensure new vendors are being created only when strictly necessary and based on business needs, otherwise direct the users to existing vendors
  • Champion Continuous Improvement initiatives and be agents of change
  • Support supplier selection and on-boarding
  • Ensure all new vendors on-boarded are in line with existing policies and requirements and execute compliance checks on behalf of the users
  • Help ensure appropriate supplier compliance checks (TPRM) are performed and verified in order to minimize risk in the set up of new vendors to Takeda
  • Help Sr. Procurement agents ensure all information related to new and existing suppliers (except for Preferred suppliers) are provided on time and made available in the relevant systems
  • Support onboarding tasks performed via/by other TBS Procurement Solutions teams - maintain overview and control
  • Liaise with other TBS towers and GREFP and keep up-to-date with all relevant process updates or changes
  • Identify and implement opportunities for improvement and manage risks upfront, to help customers feel confident and supported
  • Ability to build collaborative relationships based on trust and respect, staying involved until the customers understand the proposed solutions
  • Track, monitor and report KPIs related to user experience as well as supplier enablement process for non-Preferred suppliers and Source-to-Pay user


EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS:

  • Fluent in English and ideally business level fluency in the region's primary operating language
  • Master or min. Bachelor degree and 2-3 years of relevant purchasing or supplier management/enablement experience
  • Knowledgeable in systems and processes for efficient management of vendor creation and deactivation processes
  • Knowledge of SAP Ariba, MDG, LINC and internal procedures and policies
  • Ability to set clear and realistic expectations and proactively provide updates on the way
  • Customer-focused and people oriented with high attention to details and committed to creating strong partnerships
  • Be holistic in providing responses, looking at the whole picture of the request and offering sustainable solutions
  • Be able to listen carefully to customers and be open to consult with them for process changes
  • Good understanding of all TBS Procurement roles and interdependencies or fast learning
  • Good time management skills and ability to prioritize tasks
  • Strong data-centric mindset, good ability to recommend improvements based on facts
  • Ideally experience or knowledge of offshore or shared service operating environments
  • TBS problem-solving and entrepreneurial mind-set - driven to create and innovate
