The Role:
We are looking for a PMO Analyst to support our client projects as well as coordinating with our consultancy’s sales and delivery functions.
Reporting to the Operations Director and, as a key member of the Project Management Office (PMO), the PMO Analyst holds a multifaceted role at the intersection of operational oversight and day-to-day project execution. You’ll be collaborating closely with cross-functional teams, updating reporting to generate data-driven insights, and contributing to the successful delivery of our projects and initiatives. Working closely with the engagement and delivery leads, you will be the go-to person for everything involving a project’s administration.
To be considered, you should have the basics of a strong PMO Analyst. You’ll be an excellent communicator and be comfortable managing multiple tasks. Additionally, you also need to be a team player and have a problem-solving attitude.
Key responsibilities:
Cross-Functional Coordination:
- Collaborate with multiple functions to ensure alignment of goals, resources, and priorities with overall business objectives.
Standardisation and Best Practices:
- Maintain standardised processes, tools, and best practices across the PMO function.
Project Support:
- Assist engagement and delivery managers in the setup and monitoring of projects, including client and consultant onboarding activities.
- Support the Senior PMO Analyst in providing guidance and oversight to engagement and delivery managers, ensuring adherence to timelines, budgets, and quality standards.
Resource Management:
- Support resource allocation and tracking across projects by maintaining accurate records of resource availability, allocations, and dependencies.
Risk and Issue Management:
- Assist in the identification, assessment, and mitigation of risks and issues by maintaining risk registers and supporting risk management activities.
- Monitor the resolution of issues and escalate as necessary to ensure timely resolution and minimise impact to client projects or company initiatives.
Performance Metrics and Reporting:
- Generate and maintain reporting data to provide visibility into project costs, resource allocation, and key metrics.
- Support the Senior PMO Analyst in analysis of PMO reporting data and trends to identify areas for improvement and support decision-making across the company.
Quality Assurance
- Support quality assurance activities by ensuring project documentation and assets meets internal quality standards.
- Conduct quarterly reviews of project documentation repositories to support accuracy in RFI and RFP responses.
Stakeholder Communication:
- Facilitate effective communication between various stakeholders, ensuring transparency and alignment throughout project lifecycles.
Continuous Improvement:
- Drive continuous improvement initiatives within the PMO function, with a focus on process optimisation for increased efficiency and effectiveness.
- Good understanding of project coordination in the professional software services sector
- An appreciation for software development, with an understanding of software development methodologies and practices
- Excellent client-facing and internal communication skills
- Excellent written and verbal communication skills
- Solid organisational skills, with the ability to manage and prioritise own workload with little or no senior support
- Strong focus on attention to detail even while multi-tasking
- Strong working knowledge of Microsoft Office suite
