What will I be doing?

You’ll be joining the People Team at Kaluza - a team of around 20 spread across London, Bristol, Edinburgh, and now Melbourne!

You’ll report to our Head of People Experience, but will have close relationships across the wider People, Finance, and Technology functions.

We’re looking for a brilliant People Operations Manager to join our team! You’ll be responsible for ensuring we provide a best-in-class set of people tools, services, and policies that cover our global locations. 

We have spent the last few years setting ourselves up with a fresh people experience for Kaluza, so we have the basics of our infrastructure and systems in place already. The focus of this role will be making sure that these operational parts of the people team are optimised, with a great user experience, and set up for global scale as the business evolves. 

People Systems and Tooling: You’ll be responsible for a holistic view of our People Tooling, within which there are opportunities to streamline how we use systems and create a brilliant experience through automation, integration, and data, globally. For example, we currently use Workday as our Finance and HRIS, Leapsome for engagement and performance, Greenhouse as ATS, and Enboarder for onboarding. This will also include ensuring accurate information is provided to our payroll team, monthly. 

People Policies: You’ll be responsible for the oversight and improvement of our global suite of People Policies, currently spread across the UK, Portugal, USA, and Australia. This will include regular review, monitoring, and reporting on the success of them. 

Process Optimisation: You’ll be responsible for spotting opportunities for automation, optimisation, and process improvement across our employee lifecycle, creating a flexible and transparent roadmap of operational change aligned with our People Strategy. 

Queries & Information Accessibility: You will lead on our approach to first-line people-related query management which takes place primarily over slack or JIRA, supported by our People Operations Coordinator. You’ll make sure we manage queries effectively, and embed accurate and engaging information back into our Intranet and Tooling suite so people can more easily self-serve.

Visa management: oversight of our visa sponsorship process, globally, which our People Operations Coordinator delivers, primarily ensuring we remain compliant and notify relevant bodies of important changes. 

Contractors & Third Parties: Your area will oversee the full lifecycle of our contractor and third-party vendor management process, reviewing, implementing, and continuously optimizing our hiring, onboarding, and management processes to ensure compliance and alignment with business needs. 

You will also have our People Operations Coordinator reporting to you, so you’ll be key in ensuring they are engaged, developed, and supported in their role. 

About You

To be successful in this role, you must have:

  • Ability to assess and design a great user experience in the services, products, and tooling you build and run.  
  • Experience across the people systems lifecycle from implementation, to iteration and improvements, to integrations and reporting. 
  • Experience working with a variety of different people tools and managing the relationships with external providers. 
  • Up to date employment law knowledge in our key locations. In the UK this is essential; nice to have would be knowledge of the USA, Australia, and Portugal. Other locations, such as Japan or European countries would also be a plus. 
  • Experience of managing a global policy suite including: inception and writing from scratch, to iteration and improvements, and ongoing assessment of success. 
  • A practical ‘hands on’ approach and being happy to roll up your sleeves. 
  • Strong data analysis, reporting, and manipulation skills.
