The Payroll Coordinator role is an in-office position based at our Irvine office, ideal for candidates within a commutable distance. This full-time, exempt role offers a pay range of $68,000.00-$75,000.00, depending on experience and qualifications. Please note that this position is not open to candidates requiring visa sponsorship.
As a Payroll Coordinator, you will play a pivotal role in ensuring accurate and efficient payroll processing by verifying employee data, reviewing timesheets, and addressing payroll inquiries. You’ll collaborate closely with the Payroll Manager, HR, and Finance teams to maintain compliance with regulations, manage payroll systems, and generate essential reports. This role requires exceptional attention to detail, strong organizational skills, and clear communication to seamlessly support our employees and internal teams, ensuring a smooth and reliable payroll experience.
What You’ll Do:
- Payroll Perfectionist: Validate employee data against source documents, monitor hours worked, enter bonuses, commissions, and deductions to ensure completeness and accuracy in every detail.
- Timesheet Troubleshooter: Review, approve, and process timesheet corrections and time-off requests while addressing inquiries promptly.
- Compliance Champion: Partner with the Payroll Manager and HR to ensure payroll practices comply with federal, state, and company regulations.
- Employee Liaison: Assist HR in providing value to employees by addressing all pay related inquiries.
- Master of Communication: Have proactive communication with Payroll manager on challenges faced and suggest solutions to key issues..
- Reporting Specialist: Generate payroll reports and maintain accurate records for audits and reporting purposes.
- Tax Filing Expert: Assist with generating payroll tax documents, including W-2s, 1099s, and other state-specific requirements.
- System Guru: Maintain accurate data in UKG payroll systems and assist in reconciling changes like new hires, terminations, and benefits deductions.
- Administrative Dynamo: Handle manual checks as needed and support the Payroll Manager with other duties as assigned.
What You’ll Bring to the Team:
- Payroll Expertise: 2-5 years of payroll processing experience, preferably in a tech or FinTech environment.
- Tech-Savvy Skills: Experience with payroll systems like UKG is a plus. Basic to intermediate understanding of MS Excel is needed.
- Detail-Oriented: A meticulous eye for detail to ensure every aspect of payroll is precise.
- Strong Communicator: Excellent verbal and written communication skills, coupled with active listening and empathy.
- Problem Solver: Critical thinking skills to address and resolve payroll discrepancies efficiently.
- Organized Multitasker: Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
- Confidentiality & Integrity: A strong ability to handle sensitive information with discretion.
