We are seeking a dedicated and detail-oriented Payroll and HR Services to join our team. The ideal candidate will be responsible for managing payroll administration and supporting HR processes to ensure smooth and efficient operations. This role involves close collaboration with business owners, HR, and our payroll outsourcing company.
Key Responsibilities:
- Payroll Administration:
End-to-end processing of payroll, ensuring all information is accurately entered into the payroll system, including medical leave details.
Verify payroll calculations through accurate preparation and reconciliation of payment summaries.
Handle termination payments, including annual leave, resignation, retirement, and redundancy payments.
Assist Finance with month-end consolidation.
Continuously improving and standardize payroll operations and systems.
Address payroll-related queries from staff and management.
Maintain a strong relationship with third-party payroll providers.
Support auditors by providing necessary documentation and information on internal payroll processes.
Ensure compliance with labor legislation in payroll policies and systems.
- HR Services:
Ensure personnel administration activities comply with legal requirements and internal regulations.
Maintain HR data and systems, updating them according to changes from HR teams or company managers.
Use a ticketing application (Service Now) to resolve employee requests.
Issue certificates and support employees in using HR systems like, Service Now, MyStaff SelfService and Workday
Provide assistance to employees and managers with personnel management policies and procedures.
Coordinate occupational medicine controls and liaise with medical and occupational safety service providers.
Prepare HR documents for audits and maintain communication with auditors.
- Reporting and Documentation:
Undertake internal and statutory reporting, as well as ad hoc reports.
Provide various reports related to personnel administration management.
Support regular controls on personnel administration by preparing specific HR documents.
Liaise with HR administrators and Compensation & Benefits analysts on appointments, terminations, remuneration, and conditions of service.
Provide organizational support for payroll, compensation, and benefits as required by the HR team.
Participate in team projects to streamline and digitize HR administrative tasks.
Competencies Required (Knowledge, Skills, and Abilities):
- Demonstrated payroll and admin processing experience (5 years minimum).
- Comprehensive and working knowledge of HR systems (Smartree & Workday).
- Good knowledge of the labor legislation in force.
- Ability to interpret relevant payroll legislation for legislative compliance.
- Attention to detail and ability to produce accurate work.
- Strong PC skills, including proficiency in Excel.
- Excellent written and spoken communication and interpersonal skills.
- Strong analytical skills and attention to detail.
- Ability to work with multiple deadlines.
- Customer service focus.
- Ability to deal sensitively with confidential material.
- Good knowledge of English, both written and spoken.
- Good organizational and interpersonal skills with the ability to work effectively in a team environment.
- Ability to communicate effectively at all levels of the organization and within multiple functions.
