Job Summary
Circles is seeking a highly organized and proactive Partnerships Operations Support professional to work closely with our Partnerships Manager. This role will focus on assisting in the operational aspects of managing communications, coordinating campaigns, and ensuring seamless execution of partnership initiatives. The ideal candidate has excellent attention to detail, strong communication skills, and the ability to balance multiple priorities in a fast-paced environment.
Key Responsibilities
- Operational Support
- Support the Partnerships Manager in day-to-day operations, including scheduling, data entry, meeting coordination, and follow-up on action items.
- Assist in the creation, documentation, and improvement of processes to ensure efficiency in partner management.
- Campaign Coordination
- Coordinate end-to-end partnership campaigns, including planning timelines, gathering materials, and monitoring progress against objectives.
- Work closely with internal teams (marketing, design, product) to ensure timely and accurate execution of campaign deliverables.
- Track campaign KPIs and provide updates to the Partnerships Manager and relevant stakeholders.
- Communication & Relationship Management
- Serve as a primary point of contact for day-to-day partner inquiries, ensuring prompt and professional responses.
- Draft, review, and distribute partnership-related communications such as email updates, newsletters, presentations, and reports.
- Data & Reporting
- Maintain accurate partnership records, contracts, and other documentation in CRM or project management tools.
- Compile data and prepare regular reports on partnership performance, campaign metrics, and areas for improvement.
- Assist in tracking budgets, invoices, and financials related to partnership activities.
- Cross-Functional Collaboration
- Collaborate with different departments (Sales, Marketing, Product, Finance) to ensure all partnership deliverables are met.
- Gather feedback and insights from cross-functional teams to improve partnership processes and outcomes.
- Process Improvement
- Identify areas of operational inefficiencies and propose solutions or enhancements.
- Develop and maintain templates, guidelines, and tools to streamline partnership operations.
Qualifications
- Education & Experience
- Bachelor’s degree in Business, Marketing, Communications, or a related field (or equivalent experience).
- 5+ years of experience in partnerships, operations, marketing, project coordination, or related fields.
- Skills & Competencies
- Organizational Skills: Exceptional ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
- Communication: Strong verbal and written communication skills; able to create clear, concise, and compelling materials for partners and internal teams.
- Technical Proficiency: Comfortable using CRM software (e.g., Salesforce), project management tools (e.g., Asana, Trello), and productivity tools (e.g., Google Workspace, Microsoft Office).
- Analytical Thinking: Ability to interpret data and metrics to inform decision-making and measure campaign performance.
- Collaboration: Demonstrated experience working across teams, building relationships, and facilitating effective information flow.
- Detail-Oriented: Meticulous attention to detail in planning, executing, and reviewing campaigns and partner communications.
