About This Role: We’re looking for an Operations Support Coordinator to join our team. In this role, you will partner with the customer success and operations team to ensure a smooth patient experience at all Novir vaccination clinics.

You Will Support Pre-Clinic Efforts Through:

• Verify insurance and document in TRACK
• Determine vaccination eligibility and update in update TRACK
• Support CSS by ensuring patient consents and registration in TRACK are complete
• Update clinic project planner to reflect completed tasks
• Order and maintain office supplies
• Assist the Clinical Onsite Supervisor/Manager with monthly clinical supply inventory to maintain par levels of supplies
• Ensure disposal of biohazardous waste (sharps containers)

Support Onsite Clinic Efforts Through:

• Assist with onsite check-in and registration as needed
• Perform onsite insurance verification as needed
• Assist with onsite setup, maintain a clean and organized clinic area, and help with breakdown as needed

Post-Clinic Responsibilities:

• Enter all clinic information into state reporting registries (vaccination, lead)
• Provide a report of direct billed services to Novir Accounts Receivable (private pay vaccinations, employee vaccinations, venous blood lead levels, QuantiFERON (phlebotomy specimen tests), and PPD)
• Compile automation report for claims processing, notify Novir Accounts Receivable when completed
• Ensure compliance with HIPAA and other regulatory requirements
• Assist team with resolving customer conflicts and other administrative issues

Key Experience We are Looking for:

• At least 2 years in a clinic or patient-facing environment, preferably working in a front office capacity
• Previous experience verifying insurance strongly preferred
• Experience with databases and tools such as Microsoft Office Suite
• Ability to multitask in a fast-paced environment
• Maintains a professional, team-oriented, positive attitude
• Ability to use computer and office equipment
• Excellent customer service skills
• Excellent verbal and written communication skills
• Preferred MA experience
