A Brief Overview
The Operations Manager is responsible for planning, developing, and managing the administrative operations and systems that support the effective functioning of the Department of Social Work. The Operations Manager partners with the Social Work Senior Leadership team to implement plans that improve care models and service delivery for patients and families.
The Operations Manager is responsible for managing the administrative and financial functions of the Department of Social Work. Accountable for expense tracking, position control management, purchasing/supply management, concrete resources, and fiscal maintenance of multiple donor budgets. Supports strategic planning and goals through project management and data analytics for operational performance. Designs and maintains multiple databases, dashboards, and REDCap programing. Responsible for supervising office support staff and troubleshooting miscellaneous administrative issues within the department.
What you will do

  • Business Management
  • Manages key departmental business and financial initiatives including, but not limited to, non-labor expense tracking and position control management.
  • Monitors and maintains multiple donor budgets, adhering to the outlined budget allowance for each account.
  • Collaborates continuously with Financial Business Partner to assure financial compliance and accuracy for all program budgets.
  • Creates and maintains a financial monitoring system for all revenue and expense activities across all programs (operating, endowment and special purpose accounts), including maintenance of the database for inventory, allocation and distribution of concrete resources
  • Oversight for distribution and documentation of resources and coordination of all data at points of service (social worker) and point of dispersion (when it is FVS).
  • Collaborates with purchasing to ensure that product selections, vendor choice and price are consistent with hospital practices/policies. Initiates and manages Purchase Orders for all budgets annually or as needed. Works with vendors and ensures timely submission of invoices.
  • Tracks all donor gifts to ensure appropriate allocation and expenditures of restricted donor funds. Manages donor relations with thank you letters, and other matters as directed by senior leadership.
  • Identifies financial stewardship opportunities.
  • Quality/Process Improvement
  • Collaborates with Senior Social Work leadership on dashboard development and maintenance.
  • Monitors social work dashboard and other data sources; provides monthly updates/snapshots. Supports all data collection needs and related metrics.
  • Assists with benchmarking and information gathering
  • Prepares/house department or specific subject matter presentations for and information library
  • Supports/leads Department and enterprise QI projects
  • Leads or assists with special projects, maintains minutes, schedules and deadlines.
  • Oversees and maintains Department data collection.
  • Administrative Management and Leadership
  • Directs and supervises office administrative staff.
  • Collaborates with senior leadership team on strategy planning, implementation and operationalization of department and professional initiatives
  • Supports workforce management
  • Supports the development, inventory and updating of enterprise and department policies and procedures.
  • Responsible for onboarding new team members regarding department operations. Maintains working knowledge and documents for onboarding activities
  • Coordinates monthly staff meetings.
  • Supports the ongoing management of @CHOP site
  • Prepares power points, letters and reports.
  • Manages department communications including maintenance of DL lists/approvals for outgoing and internal communications across the department and enterprise.
  • Supports Department Committees
  • Accountable for department disaster plans and downtime activities/kits

Education Qualifications

  • Master's Degree Business or related field Required

Experience Qualifications

  • At least five (5) years Working in cross functional teams, internal and community based organizations Required
  • At least three (3) years Social Work or medical setting Preferred
