What You'll Do
As an office operations lead you will report to Flatiron's office manager and will provide hands-on, real-time leadership for all Durham (60 person hub) and Salt Lake City (seven person office) facilities-related activities and Flatiron real estate project activity. You will operate as an extension of the NYC office team to ensure our environment is clean, safe, well maintained and an exciting place to work for Flatiron employees and visitors. You will also play a key role in Flatiron's transition from our current flex work space into a permanent Durham office location, anticipated in late 2025. Responsibilities include:
- Overseeing daily operations and management of Flatiron's Durham Hub and Salt Lake City Office facilities including reception, employee and visitor assistance, mail management, office supplies and accommodations
- Conducting routine new hire tours and hosting orientations at our American Underground office space
- Managing facility access for our employees and visitors and maintaining attendance data reports
- Coordinating vendors for all onsite service, food / beverage requirements, office supplies, and related office essentials as well as assisting with onsite event support
- Overseeing requirements for building maintenance (preventative and corrective) and fulfill office help desk tickets and requests as required
- Managing project-based real estate activity including leasehold improvements
- Maintaining sources and connections for all office-related information including our overall real estate portfolio as well as Durham and Salt Lake City vendor contacts
- Working with cross-functional teams for co-owned tasks and activities involving facilities (such as employee experience, procurement, IT, and building management)
- Ensuring communication and enforcement of security procedures, building safety regulations and adherence to employee workplace laws
- Taking on other responsibilities including ad-hoc special event support, special projects, facility enhancements and continuous improvement
Who You Are
You're a kind, passionate and collaborative problem-solver who values the opportunity to think beyond the way things are. In addition, you're a resourceful facilitator with 2-6 years of experience in an office management or facilities oversight function within a fast-paced environment.
- You are comfortable with and excited to lead facilities services in a matrixed, on-site, and remote (for non-NY offices) model
- You are able to manage a fast paced environment, with just in time request management, and varying levels of intensity with a can-do spirit of fulfillment
- You value customer service and enjoy working with people at all levels of the organization including visitors and suppliers
- You have excellent interpersonal, writing, and communication skills
- You have strong organizational and administrative skills
- You are excited about building and maintaining effective working relationships
- You are adaptable and have a desire to learn and develop your skill set to take on more responsibility
- You have a Bachelor's degree in business administration or related field or relevant experience in facility management
Extra credit
- You have experience overseeing facilities remotely including internationally
- You have or are interested in pursuing a certification as a Certified Facility Manager (CFM) or related credential
Where you'll work
In this office-based role, you'll be expected to work from our Durham hub Monday through Friday, from 8:00 AM to 4:00 PM ET.

The annual pay range reflected above for this position is based on the preferred primary location of the role which is listed in the job description. Salary ranges for other locations vary from the range reflected above. Base pay offered may vary depending on job-related knowledge, skills, and experience. An annual bonus and equity may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered.
