Summary
As an Office Manager at Casa Grande Chrysler, Dodge, Jeep, and Ram, you will be responsible for processing and generating financial data for all dealership departments, which together represent the accurate financial condition of the business. You will be responsible for providing accurate reporting to the dealer/general manager and are responsible for accounting office and administrative functions.
Essential Duties
- Office Management & Supervision: Trains, supervises, and organizes office personnel and day-to-day operations.
- Financial Reporting & Forecasting: Prepares monthly financial statements, daily DOCs, and assists with short- and long-term forecasting.
- Accounting Oversight: Controls posted documents, reconciles accounts, approves inventory/receivable adjustments, and processes month-end close.
- Cash & Banking Management: Prepares daily bank deposits, maintains petty cash, manages cash flow, and forecasts cash needs.
- Tax & Compliance Responsibilities: Prepares and submits tax deposits/returns, ensures government regulation compliance, and assists with audits.
- Manufacturer Relations & Claims: Manages warranty claims, rebates, co-op advertising, and ensures manufacturer accounts are accurate and up to date.
- Commission & Chargeback Administration: Prepares sales commission, chargeback, and floor plan reports; oversees chargeback program.
- Inventory & Floor Plan Control: Oversees vehicle inventory records, processes payoffs, and works directly with floor plan providers and banks.
- Customer & Account Management: Approves new charge accounts, manages collections, and handles past due accounts.
- General Administrative Duties: Manages key control, codes deliveries, compiles reports for leadership, and handles other tasks as assigned.
Qualifications

- Bachelor's degree (B.A.) from a four-year accredited college or university
- Five to seven years of experience in an office administrative role
- Ability to read and interpret documents including but not limited to financial reports and legal documents
- Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public
- Solid mathematical skills
- Strong problem solving skills
- Strong reasoning ability
- Excellent customer service and communication skills
- Ability to work in a fast-paced, team-oriented environment
- Strong organizational and multitasking abilities
