We are looking for a Part-time Administrative Assistant who will be the heart of the day-to-day operations and activities that keep us moving forward. The Administrative Assistant will report directly to the CEO, overseeing all aspects of general scheduling, documents management, event planning, office coordination, ordering, organizing, and other routine administrative tasks.
We are a fast-paced company and desire an energetic, positive candidate who can think on their feet and adapt quickly to changing circumstances (e.g. complex scheduling, last-minute travel). You will scale the abilities of our entire team by maintaining and improving processes, and you will have your hands in many functional areas.
This is a part time position 4 hours/day Monday-Friday. The role is in-person, with the expectation that the office manager will be on-site 5 days per week and based out of our South San Francisco, CA office.
Responsibilities
- Responsible for operations of the office, including general scheduling, supporting external accounting, expense reports, shipping and delivery, ordering supplies and equipment, document management, office coordination, welcoming visitors, fielding general phone inquiries, and other routine administrative tasks
- Anticipate the needs of the team and help them stay focused on their projects by resolving operational and administrative issues before they arise
- Adapt and move quickly with the changing environment, while maintaining strict confidentiality on all matters relating to the company
- Serve as point of contact for helping take care of our team, including onboarding and offboarding of team members, ordering and stocking office supplies and food, general software/IT support as needed (setting up accounts, basic usage)
- Plan and coordinate company internal and external events (i.e. trade shows, team outings, virtual meetings, etc.)
- Perform other related duties as assigned
Qualifications
Excellent command of all Microsoft Office 365 applications, Dropbox/Box, Expensify, and other software as well as the general use of technology
- 1+ years of administrative experience
- Exceptional attention to detail and professional in-person and virtual presence
- Ability to work autonomously on projects and prioritize appropriately
- Comfortable and able to thrive working in structured and unstructured situations
- Highly organized and able to manage multiple priorities and projects
- Excellent judgment and a high level of discretion
- Strong ability to effectively communicate and collaborate with a diverse range of people and job functions
Salary Range
- $30-$36/hour
