About the Role
As the Office Manager, you will be the heart of our office operations, ensuring everything runs smoothly, efficiently, and with a touch of hospitality. This contract role is perfect for someone who thrives in a fast-paced setting, enjoys problem-solving, and takes pride in creating an organized and well-run office. You’ll be in the office five days a week, playing a key role in shaping a positive and productive workplace experience.
Daily Operations & Office Environment
- Serve as the main point of contact for all office-related needs, ensuring a seamless day-to-day experience.
- Welcome and escort guests from the lobby, ensuring they feel comfortable and attended to.
- Manage incoming and outgoing mail and shipments, coordinating with couriers as needed.
- Keep office equipment (printers, scanners, coffee machines, etc.) in top shape by coordinating maintenance and troubleshooting issues.
- Maintain conference rooms by ensuring supplies (markers, pens, tissues, hand sanitizer, etc.) are stocked and tech is functioning.
- Oversee office supply inventory, tracking usage and replenishing as needed.
Kitchen & Social Spaces
- Audit and restock snacks and drinks weekly to keep employees energized.
- Monitor and track kitchen and snack spending to align with budget.
- Keep the kitchen organized and clean—restocking cups, coffee, and other essentials.
- Audit refrigerator contents, ensuring cleanliness and timely disposal of expired items.
- Set up the break room and common spaces for larger meetings and gatherings.
- Maintain drinks and snacks for the weekly social gathering and other events.
Events & Culture Support
- Coordinate with lunch caterers weekly to ensure smooth meal service.
- Assist with setup and cleanup for team lunches, meetings, and company gatherings.
- Plan and decorate common areas for holidays, team celebrations, and special events (and handle takedown afterward).
- Support company events, offsites, and team-building activities as needed.
Facilities & Vendor Management
- Act as the primary liaison for property management, maintenance requests, and general building operations.
- Oversee select vendor relationships (Shred-It, cleaning services, office supply providers, and more).
- Evaluate and refine office procedures, identifying areas for efficiency improvements.
Other Duties & Ad Hoc Projects
- Assist leadership and employees with miscellaneous administrative tasks as needed.
- Be a problem-solver and proactive thinker, anticipating office needs before they arise.
Qualifications
- Exceptional organizational skills – able to keep multiple tasks in order without missing details.
- Strong communication skills – both written and verbal, ensuring smooth interactions with vendors, employees, and guests.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- A high degree of flexibility and people skills, making everyone feel supported.
- Problem-solving mindset – thinking ahead to prevent issues before they occur.
- Proficiency in Google Suite, Slack, and other office software (and ability to quickly learn new tools).

Compensation
The hourly range of $30 - $35 per hour; however, the base pay offered may vary depending on the market, job-related knowledge, skills and capabilities, and experience.
