The Role & What You Will Be Doing

Every day, we rise to the challenge to make a difference and here’s how the Office Manager role will make an impact:

  • Coordinating office activities to ensure efficiency and compliance with company policies.

  • Managing office supplies inventory, order necessary supplies, and oversee the office layout.

  • Scheduling meetings and appointments, greeting visitors and providing general administrative support to our employees.

  • Ensuring the maintenance of office equipment and liaise with IT support for troubleshooting.

  • Responsible to do actual promo budget spending tracking.

  • Supporting team with coordination company systems - HIPPO, LCM.

  • Relevant local databases reports extraction/ preparation, support manager with monthly reports.

  • Responsible with administrative and filing task including organizing promo materials and all documents as per corporate policy,

  • Provide support and assistance to finance department such as tracking and process invoices through system to ensure timely payment.

  • Support other HR related task such as record keeping on Sick leaves / vacation/ working hours record keeping.

  • Additional responsibilities such as managing work and fire safety and other company compliance/regulation updates.

About Your Skills & Experience

For this role, we’re looking for a candidate who has an effective combination of the following qualifications, skills and experiences:

  • Bachelor degree or equivalent in business, administration or a related field

  • Min 2 years previous experience as Office Manager

  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)

  • Ability to handle confidential information and Comfortable handling confidential information

  • Strong organizational and time management skills, and ability to prioritize

  • Hands on experience with office machines and printers

  • experience with online platforms with aptitude to learn new software and systems

  • Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle vendor contracts, among other tasks

  • Administrative strength, as well as ability to learn new processes quickly
