Job Description

Highnote is looking for an Office Manager to oversee our flagship office in downtown San Francisco. You will oversee daily office operation tasks as well as doing some Executive Assistant duties supporting our Chief Technology Officer and our Chief Revenue Officer. 

What you’ll be doing:

  • Oversee daily office operations, ensuring a productive and efficient work environment
  • Manage office supplies inventory, ordering and restocking as necessary
  • Coordinate office maintenance and liaise with vendors and service providers
  • Check & distribute incoming mail and manage outgoing shipments
  • Visitor management
  • Provide administrative support to multiple executives, including calendar management, travel arrangements, and expense reporting
  • Assist in planning and organizing company events, meetings, and team-building activities
  • In coordination with HR & IT, support onboarding for new team members.
  • Contribute to special projects and initiatives as needed

What we are looking for:

  • Proven experience in office management, workplace experience, or facilities management
  • Proficiency in Google Suite
  • Proactive problem solver with a strong sense of ownership over tasks
  • Excellent time management practices, with the ability to rapidly shift priorities
  • Flexibility to be in office outside of core days as needed (core days include Tuesday-Thursday)
  • Ability to lift up to 20 pounds regularly
  • Frequent standing and walking

Bonus skills: 

  • Experience planning and executing events
  • Experience with executive support
  • Experience moving offices/setting up new headquarters

  • At Highnote we have built a total rewards philosophy that includes fair, equitable, geo-based compensation that is performance and potential based. Our compensation packages are competitive based on robust market research and are a combination of a cash salary, equity, and benefits. In compliance with the Equal Pay for Equal Work Act, the annual salary range for applicants is $85,000-$135,000. 

Please note that positions located in San Francisco are hybrid and include core working days of Tuesday, Wednesday, Thursday in office.
